OCG Proposal Submission Dates and Award Review Information for Winter Break Campus Closure
CU Boulder is closed for Winter Break from December 24, 2025 through January 2, 2026. The campus re-opens for business Monday, January 5, 2026. The Office of Contracts and Grants will be closed and not available during the Winter Break closure.
Please note the following deadlines for proposal submissions and award reviews in preparation for the closure.
Proposal Submission Deadlines
Principal Investigators must contact their Proposal Analyst well in advance for any proposal with a deadline between the dates of Monday, December 15 and Friday, January 9 to ensure proper processing and review.
OCG will process proposals due in December 2025 and January 2026 according to our standard 5-business day policy with the following exceptions:

Award Administrative Actions
Grant and Contract Officers will review award documents and respond to emails according to OCG’s standard processes prior to the campus closure.
If post-award approvals such as no-cost extensions, changes to budgets or key personnel, or changes/additions for subagreements are needed between December 24 and January 4, notify your Grant, Contract or Subcontract Officer no later than Monday, December 15 to ensure timely processing of these requests.
Contract Reviews
Principal Investigators and DRAs are encouraged to notify your Contract Officer well in advance for all contracts with deadlines between Monday, December 1 and Friday, January 9 to ensure proper review and next steps.
Technical Report Submissions and Closeout Documents
For technical reports or closeout documents expected to be submitted between December 24 and January 4, submit all documents no later than December 15 to allow for review, corrections, and submission.
Award Set Up
For an award to be set up, OCG would complete the process and forward to setup in InfoEd by 5:00 pm MT, Thursday, Dec 18, 2025, or Friday, Dec 19, 2025.
Invoicing and Billing
Final Invoices and Reports - department confirmation of final expenses for December final invoices and reports due no later than 5:00 pm MT, Friday, December 5, 2025..
For other invoices to be sent by 5:00 pm MT, Friday, December 19, 2025, the award must be set up by the deadline addressed under Award/Project/Set Up. If this deadline is not met, then a manual invoice may be requested only if the following criteria are met:
- The funding will be lost if an invoice is not issued; and
- The sponsor submits a written request indicating the necessity for an immediate invoice; and
- The sponsor or recipient must accept a PDF of the invoice and provide an email address where the invoice can be sent to.

To guarantee review for December GL, department approval is needed by 5:00 pm MT, Friday, December 19, 2025.
