Person of Interest (POI)
For new POIs:
You will:
- Determine the type of POI needed
- Determine if a background check is needed
- Complete the initial portion of the DocuSign form, and send to the Person of Interest
- Instruct POI on how to activate their IdentiKey and email address
HRSC will:
- Receive the POI form via DocuSign
- Request a background check, when indicated on the DocuSign form
- Confirm entry completion, and provide the new EID
To Extend an existing POI, or add an additional relationship type:
You will:
- Submit a request to HRSC providing the first and last name, the EID, effective dates, sponsoring department, and sponsor's position number
- Determine if the additional or extended POI requires a background check
HRSC will:
- Request a background check, when required
- Enter the changes needed, and confirm with the requestor when the ticket is closed
Top POI Questions
Any person not paid by the university, such as a volunteer, who needs access to a university system as part of their relationship with the university should be set up as a POI (for example, a visiting scholar who needs access to parking and library privileges but is not being paid by the university).
When an employee's hire is entered into the system, their access will be provisioned for six months prior to their start date, making a POI unnecessary. If possible, HRSC recommends entering an employee hire earlier than necessary to provide access, instead of creating a POI preceding the hire.
a. Start date: Please provide a current or future date for access to begin.
b. End date: List the first date that the individual should no longer require access. A default POI has a length of one year. A POI cannot be requested for a time period longer than five years, but an existing POI can be extended when needed.
A valid SSN is required for Pre-employment and Security level clearances and in order to launch a background check.
A background check would be required for the following reasons:
i. POI is working or assisting with programs serving minors or at-risk adults
ii. POI is working or assisting in child care facilities
iii. POI is spending the night in a situation where minors are present
iv. POI is providing housing for minor undergraduate students
v. POI needs access to CU Rec Center facilities
