Hiring & Set-up Transactions

Hiring for students starts in the college, school, institute, or department.

You will:

  • Identify and coordinate students that are to be hired
  • Determine if the position needs a background check and/or I-9
  • Send completed spreadsheet to HRSC
  • Send PIW link to student

The HRSC will:

  • Send Section 1 of Form I-9 to student (when requested)
  • Request background check (when requested)
  • Create/update position and funding
  • Enter hire in HCM
  • Send hire confirmation to department

Appointment Changes

Personnel transactions may include promotions, transfers, demotions, etc. For consultative advice, please refer to the Student Employment website.

You will:

  • Send completed spreadsheet and completed offer letter/addendum to HRSC

The HRSC will:

  • Verify completed spreadsheet against completed offer letter/addendum
  • Enter change in HCM
  • Send change confirmation to department

Top Grad Student Questions

I need to reduce/increase a Graduate Students percent of time and contract amount, how will this affect their pay?
The HRSC will adjust the Graduate Student’s position information and compensation. Please submit the Graduate Student spreadsheet with the necessary changes.

This graduate student holds a 25% appointment with our department, but their Tuition Remission reflects 50%, why is this the case?
The graduate student likely holds another Graduate appointment with another department that brings their Tuition Remission eligibility up to 50%.

What is the maximum Tuition Remission a Graduate Student can receive?
The maximum Tuition Remission for a Graduate Student is always 50%. Even during the Summer when a Graduate Student may work full time, their Tuition Remission can never exceed 50%.
