Before Your First Day

In accordance with the Immigration Reform and Control Act of 1986 ("IRCA"), the University of Colorado Boulder must verify employment eligibility of each employee within the first three days of employment. 

Completing Section #1

Completion of Form I-9 is a shared responsibility of both the employee and the university.

  • You will receive an email from Hire Right inviting you to complete Section #1 of the Form I-9.
    • Section #1 must be completed by the employee on or before the first day of employment.
    • Form I-9 can be completed as soon as, but not before, a job offer has been extended and accepted.

Employees who are working out of state or the country should complete the Remote I-9 Assistance webform to request options for completing the I-9. All federal timelines still apply.

Get Ready to Complete Section #2

  • Section #2 must be completed in-person by an I-9 partner, or authorized university representative, within the first three days of employment.
  • You will need to provide original, acceptable documents to complete the I-9.
  • To complete section two of the I-9, please visit one of our two locations.

  • Claim and Activate Your IdentiKey

    • An IdentiKey is the CU Boulder username and password you will use to access most campus systems, online services and computing resources, including your Microsoft 365 account.

      • Once your appointment has been entered and approved in our HR system, you will receive an email from newatcu@colorado.edu at the personal email address you provided with your job application.

      • This email will contain your unique employee identification (EID) number, which you will need to activate your IdentiKey.

        • If you do not receive this email or have questions about your EID number, contact your supervisor or departmental HR liaison.

    • Follow the step-by-step guide to activate your IdentiKey and set your security questions and password.

  • Log In to Your CU Boulder Email Account and Set Up Multi-Factor Authentication

    • As a new CU Boulder faculty member, staff member or affiliate, you will be assigned a Microsoft license that includes Outlook for email and calendaring; Teams and SharePoint for collaboration; office applications such as Word, Excel and PowerPoint; and OneDrive for file storage.

    • Your license also grants access to Microsoft multi-factor authentication (MFA), which is required to access your CU Boulder-provided Microsoft services, Google Workspace applications, MyCUInfo, Canvas, Zoom, VPN and more.

      • Your Microsoft license will be provisioned:

        • 14 days before your start date if you are a new staff member

        • 90 days before your start date if you are a new faculty member

    • Once you have activated your IdentiKey and received your Microsoft license, follow the step-by-step guide to log in to your CU Boulder email account.

      • The first time you log in, you will be prompted to register for MFA. You have a few different options for enrolling in and using MFA 

Direct deposit can be set up in the employee portal up to 14 days prior to your start date if you are a staff member and up to 90 days if you are a faculty member.

We recommend getting direct deposit set up in the MyCUInfo portal as soon as possible. You must set up direct deposit by the middle of the month of your start date to ensure it is in the system before monthly payroll runs. If there is no direct deposit information in the portal when payroll runs, you will receive a paper check mailed to the address we have on file.  

If you work on the Boulder campus, take a moment to plan your commute. Convenient options are available, whether you drive, bike, or use public transportation.

Your Buff OneCard is your official university identification and provides free access to local and regional bus services. Cards are also often used for building access, campus cash, campus services, and some events. You can pick up your card at the Buff OneCard Office or have both mailed to you. *We recommend picking up both cards at the C4C due to extensive mailing delays.*

Email boc@colorado.edu from your CU Boulder email address (colorado.edu) and include the following: 

  • Your full name
  • Employee ID #
  • Attach a photo using these guidelines:
    • Face forward
    • Plain, light background
    • No hats or sunglasses
  • Buff OneCard office will mail if requested
  • Please include your mailing address if you want it mailed

Please talk with your supervisor, hiring manager, or Human Resources Liaison about attending a QuickStart session. Anyone who has a permanent appointment 50% or greater is welcome to attend.
