Pre-evacuees

In the event an employee’s primary residence is included in an official pre-evacuation area (voluntary or mandatory) as determined by public safety officials due to a fire, flood or other local emergency, the employee should be provided with up to 1 day of administrative leave through the disaster leave policy and then may use annual leave. All employees, both exempt and non-exempt, should report this time as “Administrative Leave” on their MyLeave calendar with a note in the comments section that says “Marshall Fire.”

Evacuees

In the event an employee’s primary residence is included in an official mandatory evacuation area as determined by public safety officials due to a local emergency the employee should be provided with up to 2 days of administrative leave through the disaster leave policy and then may use annual leave. All employees, both exempt and non-exempt, should report this time as “Administrative Leave” on their MyLeave calendar with a note in the comments section that says “Marshall Fire.”

Substantial Damage, Loss of Primary Residence or Unable to Return

In the event an employee suffers the loss of her/his primary residence due to a fire, flood or local emergency, the employee should be provided with up to 5 days of administrative leave through the disaster leave policy and then may use annual leave. All employees, both exempt and non-exempt, should report this time as “Administrative Leave” on their MyLeave calendar with a note in the comments section that says “Marshall Fire.”

2. Emergency Admin Leave

In response to the Marshall Fire disaster, the Chancellor is announcing emergency administrative leave for employees who are unable to access their residence, have had an interruption to utilities/internet, or have experienced a partial/total residence loss. Employees who have been impacted in this manner may request up to 160 hours of administrative leave to be used for immediate needs, such as securing shelter, food, clothing, or dependent care, and addressing disaster recovery issues that include accessing applicable resources (e.g., FEMA, insurance companies, and emergency mitigation services). All granted leave will be prorated based on appointment percent of time.

Fire Leave Request Form

For impacted regular faculty (all tenured and tenure-track faculty and instructor-track, clinical-track, and faculty-in-residence at 50% time or more), faculty members should follow their college/school procedures for applying for leave. Most typically, faculty members should contact their chairs/directors, deans/divisional deans, and school/college faculty HR liaisons to begin the application process using the appropriate leave request form.

For impacted temporary employees (lecturers, student employees, working retirees, etc.), we expect departments and supervisors to be especially compassionate and flexible for the next four weeks while any temporary employees navigate relocation.  Flexibility may include covering teaching or research responsibilities or allowing flexible working hours to accommodate the unique situation. Temporary employees should communicate with their supervisors about their current and future needs. 

Graduate students on appointment (TAs, GPTIs, GAs, GRAs) who have been directly impacted should notify their supervisor and department chair immediately. The Graduate School will assist with financial support to units whose graduate students on teaching and research appointments are temporarily unable to fulfill their duties. If it is determined that it is necessary to hire a temporary replacement the department should contact Gretchen.Oconnell@colorado.edu to request temporary teaching and research support funds.

3. Vacation and Leave Sharing

If more leave is needed after the 160 hours of administrative leave, staff and research faculty should utilize any vacation or comp time they have accrued.  After all is exhausted, employees may apply for Leave Sharing.
