Kage Policies

GENERAL POLICIES

Facilities and equipment are available to students currently enrolled in a CINE course. Non-Cinema Studies students are NOT allowed to rent Cinema Studies equipment.

RESERVATION POLICIES

Reservations MUST be made 12-hours in advance (e.g. if you make your order at 10pm, the earliest you'll be able to pick up is 10am the next day).

Sometimes, assignments spring up last minute. If a student wants to check out equipment without a reservation, they are only allowed to do so during our Walk-in Hours. It's highly encouraged that students make a reservation in advance to ensure equipment availability. The Kage will not make an order on the student's behalf, however, we will walk you through how to make one if it's your first time. Walk-ins are 2pm-4pm on Thursdays and 12pm-4pm on Fridays.

KAGE RENTAL AGREEMENT

Students sign a Kage Rental Agreement every time they pick up equipment.  Please make sure to show up 5 minutes early to review and sign the contract and avoid any delays.

Read Sample Contract Here

This contract covers general policies and expectations when renting equipment out from the Kage, as well as outline any penalizing fees and how to avoid them.

A signed copy of the agreement will be generated on the student's check out and can be reviewed in the attachments tab of their reservation at any time.

EQUIPMENT LEVELS

Equipment access is subject to the student's course level. The classes you are currently enrolled in, or have taken in the past decide what equipment level you are. These levels help us ensure that students have the equipment needed to complete required class assignments.

Students can view what level they are and what certifications they've taken by navigating to their user page in Cheqroom. They may also reference the Kage Catalogue for a master list of equipment available at each level.

LATE FEES, DAMAGE FEES, MISHANDLING FEES & CLEANING FEES

Renting equipment from the Kage is free.

However, there are an assortment of fees that students could be charged based on violations to the Kage contract, damages or mistreatment of equipment. Late fees, mishandling/mispacking fees, damage fees and cleaning fees have been put in place to encourage students to be present and mindful when dealing with equipment.

This process helps ensures equipment is available and operational for students to use throughout the semester.

Fees are outlined below, as well as best practices to avoid being charged:

If you are going to be late, please call or email The Kage (303-492-1533, thekage@colorado.edu) and explain the circumstances for why you are late. Once you are late by 15 minutes, you will be charged late fees that will be paid upon gear return. Late fees cannot be waived once the student is late by 15 minutes or more.  Late fees are charged for any item late by 16 minutes or more. The student will be charged an initial fee of $20, but an addition $5 per item in their possession will be charged each day they are late.

Unpaid fees will result in the student's account being blocked from Cheqroom. This means they will not be able to reserve equipment, studios or computer labs until they've talked with a manager.

Below are examples of when a Late fee will be charged, and when it will not be charged:

A student is running a few minutes behind. They show up 10 minutes past their check in time. The student has not hit the 15 minute mark and will not be charged late fees.
A student's family had a medical emergency. They emailed the Kage the night before and explained that they will not be able to return their equipment the following day. The student's email will be forwarded to the Cinema Media Manager. From there they will work out a new return time, or look into possibly extending the reservation.
A student returns equipment 20 minutes late. They claim they called earlier and told us they wouldn't be able to make their original return time. They will be charged late fees. Students should schedule return times when they know they will be available.
A student calls to request an extension for their equipment due in an hour. Their extension will be denied. If they are not able to return their equipment at their original return time, they will be charged late fees.
A student is trying to return their equipment on time, but is having trouble finding parking. They're already 10 minutes late, and don't think they'll be able find parking in the next 5 minutes. They will not be charged late fees. The students has reached out and communicated that they intend to return equipment as soon as possible, are currently attempting to do so, and likely will within the next 20 minutes.

If an item/Kit Accessory is lost or broken, you will be charged the FULL RETAIL PRICE (including shipping) to replace it. If the item is of high value, the student is responsible for paying $500 at the very least. If an item is damaged on your set please take a picture of the item and send an email to the Kage explaining what happened.

Students are subject to a $5 mishandling fee if an item is packaged incorrectly (e.g. cords haphazardly thrown in and smashed by the case, XLR cables wrapped incorrectly, etc.). This also applies to crucial accessories that have been lost. "Crucial accessories" are defined as small objects that, if missing, renders the entire item inoperable (e.g. a tripod screw).

This fee is applied for EACHITEM. Mishandling fees will NOT be charged if the student is present during the check in process to correct it.

Studios and Labs are free to rent. They must be kept clean and restored to the state they were when your reservation started. Reference photos for studios can be found inside the room. If a studio/lab is found messy after a student’s reservation, they will be charged a $10 cleaning fee that must be paid before they will be able to reserve the space again.

Extended Loans for Graduate Students

Graduate students may request an extended loan for a particular piece of equipment. This would allow them to use that equipment for an entire year, rather than a few days at a time. Extended loans must be, and can ONLY be approved by the Cinema Media Manager.

If you're a graduate student seeking a long equipment loan, please email thekage@colorado.edu or stop by the Kage and ask to speak with a manager.
