If you're receiving this email, you have access to the AssetWorks ReCoup system for Property Surplus/Disposal. We want to inform you about recent changes in the system.
What's New?
When creating a new transfer, you'll now see two required fields: Method of Disposition and Notes. This change simplifies the process of retiring assets into one unified system.
Key Changes:
Starting April 7th, 2025, the Property Disposal Request Form will no longer be required. All items for surplus/disposal/retirement must be entered into the ReCoup system for tracking.
You can only select one method of disposition per transfer, so create separate transfers if needed. Please include a note under the method of disposition with the following details:
- Abandon in Place: Reason for abandonment
- Cannibalization: Write N/A
- Donate: Destination of donation
- Property Service Pickup: Write N/A
- Return to Manufacturer: Manufacturer's name
- Return to Sponsor: Sponsor's name
- Stolen: Police report number
- Trade-in: PO number for new purchase
- Transfer to Outside Organization: Name of the organization
Departmental Permissions Update:
For departments with capital assets, only the designated Departmental Property Manager can submit transfers for approval. Others can enter information, but the manager must review and submit it for approval.
We hope these changes will ensure university compliance and streamline the asset disposal and retirement process for everyone.
