Process Steps for Resignation, Retirement and/or Transfer

  • Employee will notify their supervisor of a pending resignation.
    • As a guideline, staff will typically provide at least two weeks’ notice or more.
  • Supervisor will have a follow up conversation with the employee to determine if there may be an opportunity to offer a retention.
  • If retention is not an option, the employee will then draft a resignation letter with a last day of work identified.
    • The next day after the last day worked is the effective date and will be entered into the employee’s HCM record to ensure they are paid through their last day.
      • For example, last day worked is June 30th, the next day July 1st will be the effective date and the date entered in HCM.
    • Employee will then initiate the Arts and Sciences Staff Notice of Resignation Request form at the following link: Arts and Sciences Staff Notice of Resignation Request.
      • Please be sure to have the following information ready:
        • Employee ID #
        • Resignation Letter
        • Business/Program Manager and Supervisor
          • May be the same person in some cases
          • For employees in the Academic Advising Center and Student Success to include the RAPS and Undergraduate Ed Administration, please include Rene Yanosky, Director of Finance and Business Operation for Student Success as the Business/Program Manager

Yes, an employee may use any annual leave available prior to their last day worked. Please be sure to have a conversation with your supervisor to discuss specifics.

Employees preparing to retire, should consult the campus Human Resources Website for guidance and are encouraged to consult with Employee Services at 303-860-4200.
