New Business
First Funding Cycle 1st Hearing
Mission Statement:
- The Cultural Events Board aims to broaden cultural knowledge by supporting the voices of underrepresented and misrepresented groups on campus, thereby promoting student engagement with their platforms. The Cultural Events Board encourages opportunities for interaction among students resulting in respect, appreciation, and understanding for cultural differences.

5:15 PM – Filipino Student Assocation - “AU Cultural Event Collaboration” on October 1st from 6:00 pm – 8:00 pm in the Abrams Lounge

Notes:
Funding will be mostly for food and decorations
Event as popular last year
About 130-person turnout
Turnout was also larger than that of previous years
Event educated attendees on Filipino culture
Event logistics
Presentations introducing attendees to FSA and Filipino culture
Will be followed by a ‘newspaper dance’
This was very popular last year
Event will hopefully bring people together especially with it being a collaboration between FSA and AU
History and food will be a large part of the event as food is a large part of sharing culture with others
Questions from the Board:
How do you plan to market the event?
Advertising through social media (Instagram)
Getting people signed up to their email list as well as recruiting at BIF
Also using AU social media
Word of mouth
Any improvements?
Catering timing went really well, however activities had some issues
The venue was too small for the amount of people who attended the event
Are planning on doing activities in smaller groups to better manage the amount of people
Also getting a larger venue
Also more diversity in food
How many attendees this year?
Hard to say specifically... but they have a better advertising plan as well as using the audiences they have on social media they plan to better utilize and manage attendee numbers
Discussion:
Did a good job of explaining their intentions for the event and the purpose of the events components
Event has been successful in the past
They gave important and achievable improvements to make to the event

5:30 PM – South Asian Student Association (SASA) - “Garba Night” on September 12th from 6:00 pm – 9:00 pm in the UMC Glenn Miller Ballroom

Notes:
Garba comes from traditional dance celebrated during the Navratri holiday
The event hopes to educate on the holiday, as well as creating a space for people to celebrate Navratri when away from home
Expected attendance of 250-300
This will be the fifth time the event will be held
Over 260 attendees last year
Changes:
Connecting with other south Asian groups across campus to improve music selection
Will also allow attendees to request music at the event
Beginning event sign up earlier than last year as they felt they were pressed for time last year.
Discussion:
Consistent and tangible changes being made to build on past years
Regarding attendance...
They had said in the past that they had not used buff one scanners and having issues with attendance
Going forward there should be more clarity with the board regarding how attendance will be taken
Did a great job of mentioning how they will make their event accessible to student body

How accurate have they been when predicting attendee count?
They generally estimate that everyone who signs up or spreads word of mouth will bring a couple other with them
It is generally pretty difficult to predict attendee count (bc of factors like international students, etc.); however the amount of people that come has consistently risen
As a result, they have booked a larger venue to account for this
How do they do attendance tracking?
They usually have attendees give their name as well as using buff one tappers

- EP&C update: Exemption for outside food will be charged a buyout of $2500 or 50% of Catering Food total, whichever is greater
