Mission Statement:

  1. The Cultural Events Board aims to broaden cultural knowledge by supporting the voices of underrepresented and misrepresented groups on campus, thereby promoting student engagement with their platforms. The Cultural Events Board encourages opportunities for interaction among students resulting in respect, appreciation, and understanding for cultural differences.

Event: Annual Aerospace Conference

  1. “Find Your Place in Aerospace”
  1. Full day event with three sessions and three talk/panel options
  1. Speakers are coming from a variety of backgrounds
  1. In order to encourage people that no matter where they come from they can work in aerospace

Past conference:

  1. 100 attendees
  1. 25 speakers/companies

This year:

  • Hoping to have about 150 students attend
  • About 40 speakers/companies
  • Have a tabling session after to allow students to speak with companies/speakers
  • Wanting to provide breakfast and lunch for attendees as well as gifts for speakers

Discussion

  1. Event supports groups on campus that are not necessarily supported
  1. Liaisons: Have them make sure buff connect information aligns with what was presented in today’s hearing
  1. Liaisons: Also make a note that for this event, attendance spots for this event should prioritize CU students before anyone else

Questions

  1. How are they going to ensure better turnout?
  • They had to turn people away due to not having enough event space in previous conferences
  • They are planning on spreading the word through classes and advertising the event through career services
  • They also work with multiple newsletters in order to spread word of the event
  1. Keynote speaker info
  • All speakers outside of the keynote speaker are in state
  • Speakers include photographers, professors, analysts, ROTC members, and people from different companies (from startup to large companies)
  • They are working with WoAA at School of Mines for this event as well
  • For tabling: They wanted to focus on RSO involvement and are reaching out to multiple aero/engineering focused organizations to participate.

  • Venue cannot be confirmed until three weeks after start of spring semester...
  • One thing to change/improve from last year
  • They want to allow many more people to come to the event

  • For fashions show members who do not identify as Vietnamese culture are encouraged to showcase their culture’s fashions

  1. Event is going to revolve around guys showing up in suits and girls show up in traditional dresses
  1. They want this event to showcase a festive side of Telugu culture
  1. Through clothing and food
  1. They also want to spread word about the club to all students, not just those of Telugu Background
  1. They are hoping to merge western and Indian cultures through this event
  1. Also hoping to gain interest of potential new members
  1. Planning to advertise heavily
  1. Through Instagram
  1. As well as spreading word to other organizations on campus

  1. They were not really able to answer the question of how this event would differ from a purely social one
  1. Event did not seem very accessible to people outside of Telugu culture
  1. Just because the budget is a small amount, we should not encourage ROSs to get funding from other sources

Questions

  1. What brought them to the estimated attendees?
  • Attendance of other events outside of this one have had an attendance of about 60, so they are doubling the expected turnout due to their plans for heavily advertising the event
  1. Biggest takeaway from the event
  • They want people to be able to take in the culture and through a more festive environment
  1. Can someone ask this – how would your event differ from a purely social event? Given that you do not have any performers/speakers or other educational aspects? 
  • They want people to experience the culture through the traditional clothing that will be worn at the event
  • They are thinking about doing a fashion segment of their event for people to showcase their traditional clothing as well
  • Also are planning on having a presentation talking about how the event relates to Telugu culture
  • Implementing cultural educational portions of the event through marketing as well
  1. Contents of the event?
  • Event will start with presentations followed by the dance and food, then they will do the fashion show and explain more cultural context
  1. How will they reach broader CU campus culture 
  • If students cannot wear traditional clothing/suits they do not want this to discourage people from coming
  • Any cultural attire is also welcome at the event

  1. Planning to hold an event where Muslim community can come together to break fast during Ramadhan
  1. They will also encourage attendees to attendees mosque afterwards

Questions

  1.  what are they changing for this year?
  • Planning on doing Islam Jeopardy
  • How are they going to get people involved who don't take part in Ramadhan
  • They are planning on encouraging people from the community to come and learn about Ramadhan and having speakers come to educate attendees on it.
  • Planning on explaining the cultural significance of Ramadhan
  1. Why catering from Centennial?
  • Some members attended an event at School of Mines (I think?) and they really liked the food that they brought to the event
  • The caterer also is one of the closest restaurants that can provide Hallal meat
  • They will look into vegetarian food options as well
  1. Expected turnout?
  • Last year was roughly 90 people
  • They are hoping to have 120-130 attendees this year
  1. One improvement?
  • They were not able to have an actual priest come to the event when they broke their fast last year
  • They are hoping to bring one in, to lead prayer and hopefully teach about Ramadhan

Second Funding Cycle
NSA - “A Walk Around the World” on November 9th from 5:00-8:00PM at GMB

  1. Did not see any advertising outside of UMC though

Logistics

  1. They started the event on time, but started the entertainment portion later than they should have.
  1. Had to cut down on intermission time as as result
  1. They had mentioned that the UMC had not set up a lot of the event (that they should have), so program council was not able to set up all lighting that NSA wanted
  1. Lack of tables (places for people to sit)
  1. Post event survey?
  1. Hanna had sent it but they said that they never received it at the event
  1. Sent them another form, and people were overall pleased with the event

Content

  1. Some performers did not show up, and as a result they had to adapt to these changes
  1. Food was fine

Future Notes

  1. Look into balancing table setup, making sure attendees have enough space to eat and sit at the event
  1. More rehearsal on the MC side of things
ASA- “Pride of Africa Pageant” on November 9th from 7:00-9:00PM at Byron White Club

Logistics

  • At 6:45 only a few people were there
  • Actual event began closer to 7:15
  • Lack of direction in where audience members should go
  • No vegetarian kebabs
  • Outside of this there was only bread to eat, and it was not great

Content

  • MCs did not know the order of what was happening over the course of the event
  • Outside of this though, he was good at getting the crowd involved in what was going on
  • Tone of the event (serious topics vs pageant)
  • They did a pretty good job of balancing these topics
  • However, at some points in the event there were jarring conflicts in the tone of the content being presented
  • Event was obviously focused on African culture
  • However, they would talk about the serious topics as segways in between less serious segments of the pageant
  • Had some intense questions for pageant contestants to answer due to the serious nature of them 

 

Future Notes

  • Get larger quantities of vegetarian food options
  • Do a dress rehearsal
  • Doing a better job of showcasing the personalities of contestants
  • Make surveys more explicit

Logistics

  • The plan was to go from Puja to performances...
  • Instead, they had to do activities in between Puja and performances and had to start them at around 6:45PM
  • Puja did not start until around 6:00PM
  • They took down people’s buff one information... but did not have a scanner

Content

  • Food was alright
  • It was difficult to gauge the flow of the event
  • It was hard to tell what was happening during the event
  • There was a small educational piece to the event, but it was difficult to hear it
  • They had some activities

Future Notes

  • Have a more in-depth/planned performer selection process
  • Be more punctual when starting the event
  • Try and get a buff one scanner
  • We gave funding for drums that were not present at the event

  • “If the number of catering times is a problem, as Angela kindly reminded in her reply, we are happy to move our coffee service into meal service, as long as we can keep the coffee service between two meals. Then we would be able to limit our catering for twice per day. And the Plan 1 will be: Day 1: breakfast (with coffee & cookies) and lunch(with coffee & cookies); Day 2: lunch (with coffee service) and PM break.  If the quantity of food and price of catering is the problem, as Sanjana kindly advised, we could drop the food items out of the coffee breaks and move the hot beverage service into the meal service. Because having hot beverage service is a bare minimum at a conference, we are deeply concerned about cutting it. By cutting the food items from the AM and PM breaks, we will reduce $254 (before discount) for two days. Then the Plan 2 will be: Day 1: breakfast (with hot beverage only) and lunch(with hot beverage only); Day 2: lunch (with hot beverage only) and PM break.”
