Student Affairs staff administrative leave: Summer 2023

To thank you for your hard work and efforts, the Division of Student Affairs will be closed Friday, May 26 and Monday, July 3 this summer. 

All Student Affairs staff will be granted two days of administrative leave (16 hours, prorated for part-time employees) for May 26 and July 3. Given the nature of our work, there may be operations that will still need to continue during these days. Supervisors will communicate and work with employees who will need to work during this time to provide a day(s) of administrative leave:

  • If leave is not taken on Friday, May 26, supervisors should work with staff to take a day of leave by Wednesday, July 5.
  • If leave is not taken on Monday, July 3, supervisors should work with staff to take a day of leave by Sunday, Dec. 31, 2023.

Instructions for staff who use My Leave

To record the administrative leave day, please go into My Leave and record the day as “Administrative Leave.” 

Instructions for staff who use Kronos

“Admin Leave” earnings code will be added for these two days (16 hours, prorated for part-time employees) to all employee time cards using Kronos and no further action is required. If an employee is required to work on these days, supervisors can remove this pre-populated earnings code and enter it on an alternate date. 

Considerations for this administrative leave day

  • Temporary and student employees are not eligible for administrative leave.
  • Employees who are already on approved annual, sick or other types of leave may change their existing leave request to “Administrative Leave” for their scheduled work hours during the period of closure.
  • Regular part-time employees or those paid on an hourly basis (such as variable percent employees) should be granted admin leave hours based on the hours they would have worked for May 26 and July 3. These hours should be entered by the supervisor.
