Job Summary:

University Libraries welcomes applications for a CRDDS Assistant/Dean’s Office Reception position. This position is a full-time administrative support position that provides a full range of support for the Dean of the Libraries office and the Center for Research Data and Digital Scholarship (CRDDS). The position is the initial contact for visitors to the Dean's Office and supports CRDDS. The incumbent reports directly to the Executive Assistant for the Deans but interacts with a wide range of staff, faculty, students, alumni, and community members. The work of this position often involves essential tasks of front line contacts with a variety of campus and community individuals and requires active problem solving and effective interpersonal skills. This position understands and assists Libraries Human Resources staff with a variety of tasks.

What your key responsibilities will be:

Administrative and HR Support

  • Enter time and simple data entries into Human Capital Management (HCM) system.
  • Serve as back up to Personnel Manager and Libraries HR Specialist when HCM approvals are needed.
  • Maintain organizational charts, phone lists, retirees list, distribution lists, business cards, and assists with requests for employee data, utilizing HCM system.
  • Train staff and student workers on front desk procedures so they have the ability to fill in for the

Reception

  • Serve as primary receptionist for Libraries Dean's Office.
  • Greet and direct visitors; answer and direct phone calls; distribute incoming mail and track internal documents for signatures.
  • Manage domestic issues for the office including coffee, candy basket, and refreshments for visitors.
  • Respond to a wide variety of queries from a variety of constituents and must direct to appropriate location using a detailed knowledge of the building and organization.
  • Create, update, and maintain Front Desk Procedure Manual.

CRDDS Administrative Assistant

  • Manage the CRDDS email account by triaging email questions to the appropriate director, posts and approve events in multiple calendaring systems, coordinates CRDDS listserv.
  • Post weekly event calendar and liaises with building management.
  • Work with events coordinator for all Center events.
  • Act as liaison between CRDDS and the Communications Manager to coordinate content, design, and production for events, exhibits, etc.

Room Scheduling

  • Serve as central point to approve room reservation requests for Norlin conference room booking and approves CRDDS room reservations using Outlook.

Examples of decisions made, typical problems and challenges:

  • Assist angry, difficult, and/or confused visitors.
  • Direct or answer queries when appropriate person is unavailable.
  • Difficulties in the HCM system.
  • Keeping lists accurate when data is not easily exported.
  • Proofreads narrative and content of CRDDS exhibit displays. Creates surveys and schedules focus group sessions, manages follow-up activities.
  • Determine time, size, and technological needs from meeting organizer to identify appropriate rooms available.
  • Works with IT professional when necessary.
  • Determines how best to relay information to others in the office about upcoming visitors to office.

The anticipated starting salary for this position is $41,496.

Qualifications

What we require:

  • Must be a current Colorado resident in order to apply.
  • Three (3) years of Full Time equivalent general clerical or administrative experience. Substitution: Thirty (30) semester hours may substitute for one year of the required experience. If using an educational substitution, a transcript or proof of degree must be submitted with your application on cu.edu/careers.

What we’d like you to have:

  • At least 3 years of administrative support experience in a professional office environment
  • At least 2 years of higher education administrative support experience
  • CU systems experience (HCM, Marketplace, Concur, CU-SIS, etc.)

Preferred qualifications may be used to further reduce the pool of applicants to those who are most highly qualified.
