The CU Events Calendar service offers several features you may use to market your event. There is a limited emailing feature, an RSS feature, and a quick link feature to use in marketing emails or on webpages.
If you wish to create a link to a set of events to distribute to users, such as all of your open houses, please follow the steps below.
In the calendar service, click "Marketing" tab
Click "Generate: Quick Link". You will see the screen below.
Let's go over the view type which controls how your set of events will be displayed in the calendar. Options detailed below. It's recommended that you use "Summary" as the view type. Summary shows events in a list, organized in sets by Date/Time - Similar to DateTime, but shows minimal information for the event (Image of Event (if any), Event Title, Start-End Time, Location)
Look through the other options to find out the settings you want. For example, if we want to only show events for Exhibitions from the CU Art Museum department from the current day up to next year, we would do the following:
Category(s)/Subcategory(s) - Select "CU Art Museum"
Departments - Select "Exhibition"
Check off "Current Date to # of Days" and type in 365
When you are done, click "Submit". Scroll up and you will see a new window labeled "Retrieve Quick Link". Copy this link, this will be the link you distribute to the users.
Send Event Email Notice function allows you to send email notifications to calendar users, third party email addresses, and registered event subscribers.
To send an email notice regarding a specific pending event click on Send Notification button located on a detailed view of a pending event. OR If an event is no longer pending you will access Event Email Notice through Marketing - Email menu option. You will have to search for your event to send a notification related to this event.
Leave'Email Includes Internal Notes and Comments Log'blank if you are sending a notification to a 3rd party recipient (for example to a faculty/staff member or a student who submitted this event through a public web form). If you are sending a notification to a Calendar Adminitrator or a Category Owner you may check this box, this will allow them to see internal event information and enter comments.
Select from the following checkboxes the type of Calendar user, third party recipient(s) or registered event subscriber(s) that you would like to send an email notice. If you are sending an email to a 3rd party recipient enter his/her email in a Third Party Recipients box.
Enter your email message under 'Create Custom Email Message' box.
