General Summary

The Residential Services Manager position is part of the Conference Services team working under the supervision of the Assistant Director of Conference Operations and is responsible for the day-to-day housing operations of the Residence Halls. This position will work closely with the Community Center Coordinator Team, The Conference Planning Team and the Residential Service Assistant Team. This is a full-time, live in, salaried, temporary job during the summer months only. The position has the opportunity for a hybrid work environment. The position will begin on Monday, May 13, 2024, going through Sunday, August 11, 2024. RSM’s will be expected to attend training May 13-24, 2024. Exact contract start and end dates may be negotiated with final candidates.

The successful candidate will have a strong attention to detail and excellent customer service skills. This position also has an on-call component and requires weekend and evening work with several duty shifts each week in addition to providing desk coverage as needed. 

Job Responsibilities

Involved in all aspects of the conference experience, including but not limited to the following: 

  • Assist with preparation and execution of all aspects of the conference housing process and supporting the implementation of conferences through the check in, check out and post-conference review processes.   
  • Assign tasks as needed to the Residential Services Assistant Team.
  • Enforce hall policy.
  • Support front desk staff scheduling and operations, as well as working shifts at front desks.
  • Data entry using the summer conference computer program (Kinetics Software). 
  • Complete conference billing and close out procedures. 
  • Assignment of rooms for conference guests. 
  • Knowledge of card encoding systems (Salto, Ccure). 
  • Respond to all conference needs via e-mails & phone messages, computer work, handling inquiries and process-oriented questions.
  • Communicate status of tasks to other members of the team to ensure all tasks are completed in a timely manner. Be willing to communicate questions or concerns in real time and follow desk procedures.
  • Successfully interact and effectively communicate with professional and student staff teams.
  • Be willing to fill a variety of needs as dictated by each event.
  • Additional special projects as assigned.

Qualifications & Skills

  • A demonstrated commitment and interest in customer service. This person must have excellent customer services skills.
  • An ability to communicate strongly with various types of individuals. This person must have excellent verbal, nonverbal, and written communication skills.
  • A willingness to learn and to teach others.
  • A high level of maturity and professional conduct.
  • Computer skills and willingness to learn conference management software. 
  • Ability to work independently with little supervision, handling multiple deadlines and projects. 
  • High level of detail orientation, task management, organization and problem solving.
  • Ability to be flexible and adaptable based on the needs of the operation.
  • Must be able to work in a diverse, Inclusive, professional environment. 
  • Weekend and evening hours as necessary. 
  • A successful background check is mandatory for this position. 
  • Must be a currently enrolled University of Colorado student in good standing. 
  • Ability to work one mandatory work weekend July 25-28, 2024, in preparation for a 6,000-person event.

Due to the demands of this position, second jobs are not permitted. Students may be able to complete one summer course during June term with prior approval from the Assistant Director(s). Maymester courses are unlikely to be approved.

Notable Resume Building Skills

  • Front line customer service experience.
  • Experience interacting with a wide variety of national and international guests, with varying ages, interests and communication styles.
  • On the spot critical thinking and problem-solving skills.
  • Ability to work both autonomously and in a group setting.
  • Implement high attention to detail through managing rooming list process and uploads, key card access, inputting guest data and closing out event details.
  • Successful communication with different event stakeholders using various methods; in-person, phone, text, email and video calling in a professional and deliberate manner.
  • Ability to delegate tasks and lead a team towards a common goal.

Remuneration

This Residential Services Manager position is a salaried position earning Room & Board plus a $300/week stipend. Hours will flex from week to week based on needs. Note: This is a LIVE-IN POSITION
