Recruitment Authorization

  • Every Spring, the Dean will send out a call for units to submit hiring proposals for the upcoming academic year, typically with a submission deadline of March 30.
    • Position requests will be evaluated within each division, then by the College, with decisions on hiring ultimately made by the College.
  • College of Arts and Sciences' Faculty Affairs Director completes the prior year Faculty Search Summary and upcoming Academic Year Faculty Search Plan Report for the Provost and submits to the Office of the Provost and Office of Faculty Affairs by deadline, which is typically mid-July.
  • Once approval of Faculty Search Plan Report is received from the Office of the Provost (typically early August), the College of Arts and Sciences' Faculty Affairs Director notifies units with status of approval with instructions to submit the College of Arts and Sciences Faculty Advertisement Template.
  • Position numbers are created by the College of Arts and Sciences' Faculty Affairs Office.
  • College of Arts and Sciences' Faculty Affairs Coordinator routes Recruiting Authorization: Faculty Position (RAF) and submits to Chair/Director and Dean with copy to:
    • Associate Dean
    • Budget Office
    • Unit
    • Assistant Dean of Infrastructure
    • Director of Budget

Search Committee

  • Unit forms a search committee.
  • All Search Committee Members and Unit Program Coordinator to take/refresh the following trainings:
  • The search plan checklist is no longer required before submitting the Request for Authorization of Funds (RAF) form. Please work with the Faculty Affairs Coordinator who will submit the RAF form per the procedure set by the College of Arts and Sciences and the Office of Faculty Affairs.

Job Posting / Advertisement

  • Unit submits draft College of Arts and Sciences' Faculty Advertisement Template to the College of Arts and Sciences' Faculty Affairs Coordinator. Ad template will be reviewed by Faculty Affairs Coordinator and respective divisional or associate dean. 
    • Faculty Affairs Coordinator sends ad template to International Student and Scholar Services (ISSS@colorado.edu), if expecting international candidates in a permanent position.
  • Once approved, the College of Arts and Sciences' Faculty Affairs Coordinator notifies unit of approval status and proceeds with posting ad template to the applicant tracking system, Avature.
    • Once posted to Avature, the job ad will go through an approval process by our Recruitment Coordinator team and the respective Search Committee Chair.
    • Once approved, the job ad will be active on the external CU Boulder jobs board. At this time, the unit will be assigned a Recruitment Coordinator to assist them with the search process and any changes they wish to make to their job ad.

Search and Selection of Finalists

  • Search Committee conducts the search and selects finalists (generally the top three candidates from the pool of applicants) and submits the following to the Divisional Dean for approval of on-campus interview for each finalist:
    • CV
    • Three letters of recommendation
    • Research and teaching statements
      • Finalists interviewed by Divisional Dean
  • Top finalist identified by Search Committee and terms of offer discussed between Divisional Dean and Chair/Director.

Offer Letter

  • Department submits the following to the College of Arts and Sciences' Faculty Affairs Coordinator:
  • Draft offer letter reviewed by the College of Arts and Sciences' Faculty Affairs Coordinator and sent to Divisional Dean for review/approval.
  • Once approved, the College of Arts and Sciences' Faculty Affairs Coordinator submits draft offer letter to Office of Faculty Affairs for approval.
  • Once approved by the Office of Faculty Affairs, the College of Arts and Sciences' Faculty Affairs Coordinator routes offer letter for all signatures with cc: to the following:
    • Unit
    • Human Resources Service Center
    • Budget Office
    • File
      • The College of Arts and Sciences’ Faculty Affairs Coordinator prints a copy of the fully-executed offer letter and sends to the Office of Faculty Affairs along with the following:
        • CV
        • Three letters of recommendation
  • The College of Arts and Sciences' Faculty Affairs Coordinator submits welcome/onboarding email to candidate.
  • Appointment entered in HCM (Human Resources software) by the College of Arts and Sciences' Human Resources Service Center and approved by Office of Faculty Affairs.
  • If any changes to the offer letter are needed after approval, fill out an addendum form.

Dispositioning of Candidates and Posting Closing in CU Boulder Jobs (Avature)

  • In compliance with the Equal Opportunity/Affirmative Action Policy, it is critical that all candidates are dispositioned correctly in CU Boulder Jobs (Avature).
  • Unit will be sent a pre-populated spreadsheet with the names of candidates requiring disposition, along with instructions from the recruitment coordinator.
  • Unit works with assigned recruitment coordinator to close the posting in CU Boulder Jobs (Avature)
