This information provides CU-Boulder employers with instructions for utilizing the Employment Monitoring Screen (SIS screen 331) for Work-Study employees. This screen allows employers to verify that the student has been awarded work-study and is eligible to earn it. In addition, it allows employers to monitor the earnings of Work-Study employees throughout the employment term. Information available on the Employment Monitoring Screen includes the student's Work-Study Limit and Earnings for each term.

All current subscribers to the Student Information System (SIS) have viewing access to Screen 331. Therefore, employers with valid SIS logon ID's need only follow the signon procedures outlined below. Employers who do not have SIS access need to request a new SIS logon ID by contacting University Management Systems (UMS) at 303-492-9262. Current SIS subscribers unable to view Screen 331 should report the problem to UMS. Questions regarding the actual use of Screen 331 should be directed to the Student Employment Office at 303-492-7349.

TO ACCESS SCREEN 331:

  1. At the initial display menu for the Student Information System, you should see a CU logon screen. (see example 1).

    EXAMPLE 1

    At this screen, enter your user id followed by your password, then press enter. This will take you to the TPX menu, Type the Sessid ("sisp") at the command prompt and press enter (see example 2A).

    EXAMPLE 2A:

    At the next screen (see example 2B below), you will receive the prompt 'ENTER NEXT TASK CODE'. Type "SIS" and press enter.

    EXAMPLE 2B:

    This action will take you the student confidentiality screen (see example 2C below) press enter again and you will be at the SIS Main Menu.

    EXAMPLE 2C:

  2. At the SIS Main Menu, type "331" in the field marked SCREEN. This will automatically tab the cursor to the field marked INST (Institution). You should type "BD", for Boulder, and press enter (see example 3 below).

  3. A shell of Screen 331 will appear with an error message in the upper left corner reading "REQUIRED FIELD(S) ARE MISSING" (see example 4 below).

    EXAMPLE #4:

    At this point, the cursor will be positioned at the block labeled FIN UNIT (Financial Aid Unit). You should type "F1". The cursor will automatically tab to the block labeled SID at which time you should type the Student ID number (this is not the student's social security number). The cursor will tab to the block labeled YR. You should type "09" for academic year 2008-2009 or "09" for summer 2009. The cursor will tab to the SES (session) field, and you should type "1" for academic year or "2" for summer. (see example 5 below).

    EXAMPLE #5:

    (Note: Do not type any information in the fields marked CODE, MSG, or FORM.) After you have completed these fields, you should press enter and the information for the student will be filled in on the screen (see example 6 below).

  4. To access Work-Study information on additional students, simply tab to the SID field and enter the appropriate ID number and press enter.

331 FAM EMPLOYMENT MONITORING SCREEN ERROR MESSAGES:

Check the upper left hand corner of the screen after the student's information has been brought up. If an error message appears above the "331 FAM EMPLOYMENT MONITORING" screen title, the student is not eligible to earn Work-Study. There are several error messages which could appear, possibly signaling the need for the student to come to the Student Employment Office (which is located in Regent 205).

If a message appears which reads "STUDENT AID RECORD NOT FOUND" (see example 7 below), this indicates the student did not apply for financial aid, or has applied and the information has not yet entered our system. In these instances, the student is not eligible for Work-Study at this time. It is not necessary to send the student to Financial Aid, unless the student wants information on financial aid application process.

EXAMPLE #7:

If a message appears which reads "STUDENT NOT ELIGIBLE FOR APPOINTMENT" (see example 8 below), the student has been awarded Work-Study but there is currently a question on the financial aid file. The student should come to the Student Employment Office to determine what action can be taken to reactivate the Work-Study offer. Until the problem has been cleared by the Office of Financial Aid, the student cannot be set up in PSHR as a Work-Study employee.

EXAMPLE #8:

If a message appears which reads "STUDENT HAS NO EMPLOYMENT MONITORING DATA" (SEE Example 9 below), this indicates that the student has a financial aid record, but was not awarded Work-Study.

TO MONITOR WORK-STUDY EARNINGS:

The bottom section of Screen 331 provides detailed information about a student's Work-Study award broken down according to session. Each term has information about the student's earning limit, earned amount and enrollment status. The EARNED field will be updated every two weeks as the Financial Aid System is updated by PeopleSoft, and will reflect a student's cumulative earnings in each term. Due to a delay of approximately two weeks in updating Screen 331, employers should be cautious in calculating employees earnings-to-date. The bottom right hand corner of the screen contains an 'earnings through' field. This field is updated each pay period that the student has earnings. It will provide the date of the latest pay period, which is included in the EARNED amount on Screen 331. Employers should also add any earnings the student may have since that pay period to calculate earnings to date.

NOTE: We have added a new field this academic year on SIS, Screen 331 that will calculate the work-study award minus the earned and reflect the remaining work-study award.

Fall semester earnings (08/10/08 – 12/13/08) are listed under 'Fall', spring semester earnings (12/14/08 -5/02/09) are listed under 'Spring' (Summer I and Summer II are used on the 331, session 2 summer screen). After the last pay period of the fall semester, the award amount will be reduced to what the student has earned, and the remainder carried over to the spring limit so that the student is eligible to earn all remaining Work-Study in the spring semester. If at the end of the spring semester the student has not earned all of their award, the remaining award amount is forfeited.

Student must apply for summer work-study. Summer applications are available around February 1st of each year. The student does not have to be enrolled in summer classes as long as the student is enrolled in the current spring term (091) and enrolls in the upcoming fall semster (097).


TO EXIT SCREEN 331:

In this screen field, put in 'SO' (for sign off) and enter. This will bring you to an “Information Associates” screen, enter again.

The next screen will say 'Enter Next Task Code'
At this point type in 'bye' and then enter

You will now be back at the Main Signon Menu (example 2A)

At the command line, type in “/k” to exit the University Mainframe
