Four Weeks Before Travel

Have funding secured at least four weeks before the travel is to take place. This includes funding from administrative and academic departments as well as student fee sources. If you are requesting funds from Representative Council, Council of Colleges and Schools, Arts and Sciences Student Government, or any other college or school student government, you must allow two readings (two weeks) for a bill to pass. Student fee sources will only consider funding for transportation costs, lodging, or registration fees.

Per Student Fee Regulations, each student group will be allocated a maximum of one out-of-state trip per semester from student fees. And, for any single event or purpose, student groups cannot receive funds from more than two mandatory student fee sources.

Administrative and academic sources also require adequate time to review your proposal, so be sure to plan ahead in order to have all funding secured within four weeks of travel.

After you have secured your funding, each traveler must come to the SOFO. We will fill out travel authorizations, order the registration check, make transportation arrangements, and arrange for travel advances at this time. Purchasing tickets online requires prior approval from the SOFO. Please see us first or you may not be reimbursed. The university has state-contracted travel agencies it must use to purchase airline tickets.
