Safe Parties

"Safe parties" are student group-sponsored parties and dances that are attended primarily by students. Such events are usually held in the UMC and are often fundraisers for the student group or for charity. To ensure that these events provide all participants with a fun and secure environment, student groups that are planning social events are required to meet with the Safe Parties Committee. Representatives from the student group are active members of this committee. The committee works collaboratively to produce a safe social event. The Safe Parties Committee consists of representatives from the following offices:
  • UMC Scheduling Office
  • UMC Director's Office
  • CU Police Department
  • UMC Security
  • Student Organizations Finance
  • Sponsoring Student Group
A representative from the office of the Vice Chancellor for Student Affairs may also choose to attend the committee meeting.

The representative from the UMC Scheduling Office is responsible for determining the need for a Safe Parties Committee meeting, calling that meeting, and informing the student group. The meeting is held no later than two weeks prior to the event. The student group's representative(s) should bring the following information to that meeting:
  • Day and time of the event.
  • Size of the crowd expected.
  • Age of the crowd expected.
  • How the event will be advertised.
  • Ticket price, if applicable.
  • List of individuals receiving complimentary tickets.
  • Names of at least two faculty/staff members who will attend the event for its duration.
  • Names of at least 12 student volunteers to staff the event for its duration.
The primary topic of the meeting will be event security. If the committee determines that there are potential security concerns, it may require metal detectors at the entrance. The level of police officers and building security personnel will also be determined at the meeting. The sponsoring group needs to plan ahead for these expenses. Other possible expenses associated with safe parties are late closing fees and added clean-up costs. The UMC Scheduling Office can provide estimates for these expenses. The total costs for the event will be determined and confirmed during the meeting. The student group is then responsible for delivering an IN for the agreed upon amount to the UMC Scheduling before the event. Any financial or other concerns or questions can be addressed during a follow-up meeting, if needed.

The goal of this process is to get the student group together with the appropriate resource people to address safety issues while working together to produce the most successful event possible.
