Lecture
and Performance Contracts
If
your group wishes to sponsor a performer, speaker,
or band and pay them from an affiliated student
group account, a contract must be prepared by
the SOFO at least four weeks before the lecture
or performance. Come to the SOFO to pick up a
contract information sheet and turn it in to
us four weeks prior to the event. Bands, lecture
bureaus, and performers will sometimes provide
you with their own contract. Do not sign it!
Bring the contract to the SOFO with the contract
information sheet. We will have the contracts
signed by the Procurement Service Center and
order the check according to the terms of the
contract.
- Your performer or lecturer
should be paid immediately following the
program, so be sure to plan ahead.
- Never commit to a verbal
contract or sign a written contract on
behalf of the university.
- Performers and speakers
may not be paid in advance, nor may they
receive a deposit in advance.
- Never pay a speaker,
performer, or service provider out-of-pocket
and expect to be reimbursed from state
funds.
- An honorarium is a payment
of $1 to $500 given to a performer or lecturer
after a special engagement that was always
intended to be provided free of charge.
An honorarium is intended to honor the
service provided, not to cover travel expenses,
bargained lecture fees, or other costs.
If you wish to pay an honorarium, special
paperwork is required. Please contact the
SOFO for details.
- Travel, room and board,
advertising, and other arrangements covered
in the terms of the contract must be made
through the SOFO.
- The university cannot
sign contracts on behalf of independent
student groups (groups who don't receive
student fees or state funding). Independent
student groups who wish to sponsor performers,
bands, or speakers should come to the SOFO
at least three weeks before the event to
pick up a performance information sheet.
Once this form is returned to us, a check
can be ordered. Checks take at least 10
working days to be processed.
