Meeting Minutes
December 10, 2003

Present: Jeff Buffington, Rick Denton, Eric Gray, Carolyn Landa, Dave Lilly, Malinda Miller-Huey, Kaye Orten, Gary Pollock, Bonnie Templeton, Barbara Todd, Paula Vaughan

Next Core Team Meeting: January 28, 2:30 p.m., Telecomm 215 - Note the new day and time!!!!

Core Team monthly meetings will now occur on the fourth Wednesday of each month at 2:30 p.m., still in Telecom 215. (unless this is seriously problematic with team members who were not in attendance today)

Action Items from Decemer 10th meeting

  • Core – send documentation ideas/requirements to Paula. (prelim list was emailed on 10/10/03)
  • Barb T. – Check on orientation presentations (from Registrar’s Office and from ITS) and add information re. CUConnect.
  • Jeff B – Prep Housing Lab home pages to reference CUConnect on deployment date.
  • Kaye O. – reschedule demo with Sys Ops managers (move from January to February)
  • Barb T. – get info to use for documentation on codes referenced within the student schedule display.
  • Gary – adjust sort order of course listing within student schedule.
  • pjv – include disclaimer in GPA Calculator documentation
  • Gary – rename survey channel from “Student Survey” to “Student Poll”
  • pjv – provide Bonnie with verbiage to give to advisors to use when meeting with students early in the semester.
  • Core – (continued item) send marketing ideas to Paula. Let Paula know if willing to volunteer for any of the marketing tasks.
  • Judy P. – find out the deadline for making CUConnect-related changes to Summer Orientation literature. (from November mtg)

Deployment Plan

  • After discussion with Steering, Tech and Core it was decided that a two-phased deployment would be the best approach. The first phase will target Residence Hall students, beginning Martin Luther King week (either Tuesday, 1/20 or Wednesday, 1/21). The second phase will be campus-wide and, if all goes well with the first phase, will start on January 28th.
  • Access will be controlled through publicity; i.e., initial publicity will occur only within the Residence Halls – then, with the campus-wide launch, the campus-wide marketing tools (such as Buff Bulletin, lab home pages, scarpie home page, webmail home page, PLUS home page, chalking, and UMC table tents) will be employed.
  • In the meantime, in case references to CUConnect are ‘leaked,’ CUConnect needs to point to a page that informs the reader about the timing of CUConnect’s availability.
  • Marketing for the Residence Hall students should be coordinated with Shirley Jackson.
  • AI: Jeff will set up the Housing Lab machines so they reference CUConnect on launch date.

Orientation, Semester Start-Up

  • To minimize confusion among students starting this Spring, CUConnect should at least be mentioned in Spring orientation. AI: Barb T. will check with the folks doing the Registrar’s presentation and the ITS presentation to make sure CUConnect is mentioned along with PLUS.
  • Bonnie will request that A&S Advisors inform their students about the portal if pjv will provide the verbage. (AI)

Student Schedule Channel

  • Barb T. will follow up on the code definitions that need to documented for the schedule display.
  • Gary will check on the sort order of the courses listed within the schedule (should be alphabetical by course number/section)

GPA Calculator Channel

  • Include disclaimer in GPA Calculator documentation along the lines of “If you want details regarding how your GPA is calculated, see your advisor.”

Survey Channel

  • Malinda and Paula met with Lou McClelland re. the portal surveys. Lou has agreed to review surveys before publication.
  • Surveys will initially focus on the portal (perhaps through Spring Break). The survey channel will then open up to UCSU and Student Affairs through the rest of Spring semester. Perhaps by fall, we can have a more automated way of building surveys and, thus, be able to open up the survey channel to the campus.
  • Suggestion to rename the channel from Student Survey (which has formal survey connotations) to Student Poll (which has more informal connotations) was approved by Core. AI: Gary will make this change.

Testing

  • Volunteers for testing need to be able to turn the tests around quickly through December/January. Therefore, keep Paula informed of your schedules so that appropriate test assignments can be made.
