Meeting Minutes
March 20, 2003

Present: Mac Avery, Jon Buerge (newest Core Team member – from Student Affairs), Linda Crouch, Rick Denton, Bob Fryberger, Malinda Miller-Huey, Bryan Moll, Gary Pollock, Judy Poynter, Barbara Todd, Paula Vaughan

Portal Name

  • Student survey results and Core Team comments were presented to the Steering Team – who then discussed and voted on a name. The final choice: CU Connect.
  • CU Connect will need to be relaunched with a portal identity (vs. its former telephone registration identity). Two approaches should be taken to recasting the name – one to students, the other to staff.
  • Action Item: The Outreach subteam will take this on.
  • Continuing Ed, users of “CU Connect” for phone registration, has offered to pick a new name.
  • Action Item: Malinda will confirm with Pauline that it is o.k. to move forward with this name. (Web Communications has been researching any potential legal conflicts with the name.)
  • Action Item: Gary will work with CaUS to reserve cuconnect.colorado.edu
  • Action Item: Web Communications will work on a logo.

Testing

  • After the Test Subteam completes their testing, the portal will be released for “Shakedown” testing to a fairly small group of students. Core discussed how to build this group of students:
    • Self-selection – perhaps offer a link on PLUS, take the link down when enough students have signed on to test.
    • Build from ucsu groups
    • Build from student affairs groups

Portal/PLUS session time management

  • Coordinating time outs between the portal and PLUS while balancing ease of use and security issues is a challenge. (Providing pass-through authentication from portal to PLUS means that if a student logs into the portal then walks away, a subsequent user of that workstation would have access to the first student's PLUS information.)
  • Options: short time out on portal; one free log on to PLUS.
  • Action Item: Gary and Paula will build a test plan focused on time out behavior.

Security

  • If security is based on the identikey, how will distance ed students be able to change their identikeys? (Currently, student ID/PIN can be changed by calling the Registrar; identikey changes are handled through the service center which requires in person identification.)
  • Perhaps identikey password changes can be allowed on the front page on the portal by offering challenge questions.

Announcements

  • The Announcements channel will be presented on the welcome page only. This will include vital announcements and announcements targeted to specific colleges/schools, majors, class levels and residence hall students.
  • The success of announcements will be dependent upon keeping the volume down for the reader.
  • Announcement charges will be comparable to Buff Bulleting charges.
  • Can portal announcements be requested through the same mechanism used for ememos and buff bulletins?
  • Action Item: Talk to ITS/AIS about the feasibility of including portal announcement requests.
  • An electronic communications policy is in development.

Outreach

  • Powerpoint presentation has been finalized.
  • Presentations since the last Core meeting:
    • Individual meetings: Continuing Ed, Student Employment, UCSU,
    • Formal presentations: Graduate School, SAMM, ITIAG, IT Support Community, CADS
  • Upcoming individual meetings: Housing:
  • Upcoming Presentations: Registrar's Brown Bag, UCSU, Continuing Ed

Portal and PLUS clarification

  • Everything that is in PLUS today will continue to be available – initially in PLUS (presented through the portal) and, eventually, as individual channels within the Portal.

Hardware

  • All of the hardware (boxes and switch) is in.
  • The test environment is being built.
