Shared Student Data Repositories

In order to request a Student Record Interface, you must complete the following three steps:

1. Read the Requirements for the Shared Student Data Repositories. This document includes the expectations of campus departments who store student data on shared databases within their departments.

2. Complete the following documents and send them to Christy Samford, Associate Registrar, in the Office of the Registrar, Campus Box 020 UCB (or electronically to

  • Application for the Creation and Maintenance of Shared Data Repositories. This document briefly asks you to define the purpose of the data repository; the type of data to be stored; the intended data users; and to define the data custodian of the system.
  • Interface Service Design Specification A form. This document will be used by developers to better understand the purpose of the service requested, the scope of your project, process flow, security, etc.
  • IMPORTANT: Every department is required to have a security assessment review prior to receiving the requested student data. More information can be found on the Request Student Data page. Once applications are approved and security review completed the registrar’s office will be notified and the request will then be sent on to University Information Systems for development. Questions should be directed to Dan Jones at (303) 735-6637.

If you have an existing interface developed by University Information Systems (UIS) and it just needs a modification, please use the Interface Service Design Specification B form.

3. Complete the FERPA-Web based course: Course #U00049. Family Educational Rights and Privacy Act (FERPA). Your completion and score will be recorded.

To Register and access the FERPA-Web based course:

    1. Log into MyCUInfo
    2. Click CU Resources tab
    3. Click Training under the Employee Home & News menu
    4. Click Start Skillsoft
    5. Search for the specific course by using Search&Learn. In the Search For box, enter the course number, #U00049 and click Search
    6. Place the cursor over the course title, and click [Launch]
    7. Click Session ID link for the training date(s) in which you choose to participate
    8. Click ENROLL ME located in the Meeting Schedule section of the page

Your completion and score will be recorded. 

Approved applications will be forwarded to University Information Systems for development. Note that there is a significant backlog currently for this development.
