CU-Boulder IPEDS Notes
Notes regarding Employees by Assigned Position and Fall Staff --
Background: Each year, CU-Boulder reports employee information to the federal
government through its IPEDS (Integrated Post-Secondary Education Reporting System)
surveys. We report employees by position category, gender, ethnicity, tenure status, and salary bucket.
For CU-Boulder, the base data come from the Academic Affairs
budget process and IRM's extract from PeopleSoft human resource tables.
They are compiled according to federal reporting rules.
- We create a snapshot of our human resources data as of October 1.
- An individual is reported in one and only one job classification. If an individual
has multiple appointments then job code and title information from
the highest appointment is used to categorize the individual. In determining
highest job classification, officer is greater than academic administrator is
greater than faculty is greater than exempt is greater than classified staff.
- Employee status is full-time if the sum of all appointments for an individual
equals 1.0. All other sums are considered part-time. Appointments
considered include active, leave without pay, and leave with pay.
- An individual is considered as having tenured or tenure track faculty status if
any appointment designates this status. [Our primary source for this information
is data compiled by Academic Affairs. Any overrides are due to discrepancies between
Academic Affairs and PeopleSoft data.] Individuals without a tenured/tenure track
appointment are either considered not tenure track if they have an
instructional/research appointment or Non-faculty for all other appointments.
All graduate students with an academic appointment are classified as Grad assistants.
- Position category is determined by matching job codes/titles with
IPEDS position descriptions. An individual's job code is determined by
their top appointment. Librarians are classified as Other Professionals according
to IPEDS definitions.
- Students appointments are excluded except graduate teaching and research positions.
- Temporary employees, we define as percent time less than 20 percent or 1/5 time, are excluded from this analysis except for individuals with a top job code of lecturer.
All information displayed was submitted to IPEDS during their winter collection.
Since some parts are extremely detailed we consolidated portions to provide a more useful final product.
- Employees by Assigned Position (EAP): Each employee as of October 1 is classified by function
according to job code/title. Further details include employment status and faculty status.
The EAP was new, and optional, in 2001.
- Fall Staff
Headcount: Employee status and position category by race/ethnicity/citizenship and
gender. Row totals sum all employees within a specific employee status and position category.
Column totals sum by race/ethnicity/citizenship or gender within employee status.
Row percent: Percent within a specific employee status and position category by
race/ethnicity/citizenship and gender. Row totals will sum to 100.
Column percent: Percent within a specific race/ethnicity/citizenship or gender
with employee status. Column totals within employee status will sum to 100.

Cautions and caveats
2005-2006
- In the EAP, individuals classified as instructional/research/public service
and not tenure track are newly hired tenure track faculty classified as instructors
pending receipt of the PhD.
2001-2002
- In the EAP, individuals classified as instructional/research/public service
and not tenure track are newly hired tenure track faculty classified as instructors
pending receipt of the PhD.
