Google - Resolve Conflicting Accounts

Overview

Due to the University of Colorado's aggreement with Google, it has gained the right to institutionalize all @colorado.edu accounts. Conflicting accounts occur if a user has priorly associated their @colorado.edu email address with Gmail and other Google services. If you fall into this category, please follow the documentation below to resolve your conflicting account.

This tutorial is operating system independent.

Step 1

When you first log into your new @colorado.edu Google account you will be presented with the welcome screen. Read through the terms of service and click the I accept. Continue to my account button.

If you have a conflicting account the screen shown in the image to the left will appear (if not you do not have a conflicting account).

Start the process of resolving this conflicting account issue by clicking the Get Started » button.

You will need to create a new personal Google account to hold the data that currently exists in your conflicting personal account.

Click Next » to begin.

*Note: Google allows for some product data (YouTube, Analytics, AdWords, among others) to be moved between a personal to an organizational account. However, many tools will not allow for data transferred between accounts (notably Google Drive). If you have the ability to move some of your data a Move data to your organization's account >> will appear (as shown in the image below).

In the What kind of account would you like? section, select An account with Gmail and a new gmail.com address. Then click Continue ».

In the New email address field enter your a new @colorado.edu address. Then in the Current Password field enter the password associated with that account.

Click the Save email address button.

Enter your name in the Name fields, then type in your desired email address in the Choose you Gmail address field.

Enter your Mobile phone number, then click the Submit button.

*Note: Your mobile number will only be used to ensure account security and to verify the account.

Verify you mobile phone number, choose how you wish to receive your verification code, then click Continue.

*Note: You phone should receive the verification code within 15 minutes.

In the Verify your account screen type in your received  code, then click Continue.

Your account conflict will now be resolved and your data will be associated with your new Gmail account.


Share All Documents

To work with your existing Google documents in your new @colorado.edu associated Google account, you can share them with the new account’s address and provide the account Can edit rights. Google does not allow transfer of ownership accross domains, but sharing all the documents in your drive with your @colorado.edu account will allow you to still view and edit these documents. To share and add all your My Drive documents:

  1. Go to http://drive.google.com and log into your @gmail.com account.
  2. Click on My Drive in the left side menu.
  3. Select all documents.
  4. Click the Share button (icon with a person and plus sign).
  5. In the Add people: field enter your @colorado.edu email address.
  6. Click the Share & Save.
    • If you wish to transfer ownership, see the steps in the Change Document Ownership section
  7. Logout of your @gmail.com account and log into your @colorado.edu account.
  8. Click on Sared with me from the left side menu.
  9. Select all documents and click Add to My Drive.

Change Document Ownership

You can not change document ownership across domains. To establish a new owner for the personal account documents you shared with the organizational account you will need to copy all the files individually. To do this:

  1. Log in to your @colorado.edu account.
  2. Open the document for which you want to change the ownership.
  3. From the File menu, click Make a copy.
  4. In the Copy Document pop-up, select Also copy document collaborators if you want to share the new copy with the original collaborators.
  5. Click OK. Your @colorado.edu organizational account is the owner of the copied document.
  6. To remove the original from your @colorado.edu account, log in to your personal account and unshare the original document.
  7. Repeat this process for each document ownership change required.
