Instructions for Running the Admin Training Report

Departments can obtain reports regarding discrimination and harassment training attendee information in HRMS. This will help departments monitor their compliance with the Chancellor's requirement that all employees attend discrimination and harassment training.

There is a report in HRMS that enables departments to look up training records for their employees. Users running this report will be restricted to the departments or nodes within their row-level security. Please note that only employees who have attended a sexual harassment workshop since January 2000 and a discrimination and harassment workshop after August 1, 2005 are included in this training report.

The report run control parameters provide the ability to extract training data for the following:

  1. Personnel Groups (such as classified staff, exempt professional, regular faculty)
  2. Campus Departments
  3. From and To dates
  4. Six courses per report

For historical purposes, the Sexual Harassment Training course numbers are: S10001 for staff and student employees,, S10002 for managers and S10003 for faculty. The Discrimination and Harassment Training course numbers are S10004 for staff, pras and student employees,, S10005 for managers and S10006 for faculty. To obtain the most complete report, it is recommended that all course numbers be entered.

Training Report Tips

If you experience difficulties in running your report (i.e. incomplete list) please consider the following guidelines:

  1. When running the Admin Training report, leave the To and From dates blank!  Leaving these fields blank will capture ALL training records, regardless of when the employee took the training.
  2. The Admin Training report is designed to be run by DEPARTMENT (or node) and it will list ALL employees in the department, including the employees who have not taken the training.  This is the design of the report.
  3. Ensure you are running the report for the appropriate course numbers.  In the case of Sexual Harassment/Discrimination and Harassment courses, the numbers are S10001, S10002, S10003, S10004, S10005 and S10006.  Include all of these course numbers to ensure you receive all of the training data.
  4. Regardless of the department the employee was in when s/he took the training, if the employee is now in your department, and you run the report for your department, the employee’s training records will show up on your report.
