Tech Support

Frequently Asked Questions and Answers about ITS's Microsoft Campus Agreement Rollout

What is the Microsoft Campus Agreement (MSCA)?

The MSCA agreement provides licenses as a common good to CU-Boulder faculty and staff for select Microsoft products and upgrades. The agreement will be negotiated on an annual basis and is expected to be renewed for the foreseeable future. 

Who can use the MSCA?

At this time the MSCA is for CU-Boulder campus faculty (including teaching assistants and Emeritus faculty) and staff (including student employees).

How do I get a copy of the Microsoft software for installation on my computer?

Software can be downloaded from CU-Boulder’s Microsoft Campus Agreement download website. Login with your IdentiKey, and click on Download Software. The Microsoft Campus Agreement website is where you can also get license keys. For additional support sources and alternatives to downloading the software, refer to the Support page.

Can faculty and staff use MSCA software on a personally funded computer?

MSCA work-at-home software is available for university work on a personally owned computer (not purchased with university funds). Work-at-home products must be downloaded by individual faculty or staff members and burned onto a blank disc. The agreement stipulates that work-at-home software cannot be provided to customers; however, if you need assistance burning a disc, please contact the IT Service Center.

What is the cost to me or my department?

There is no direct departmental cost for using the MSCA. The MSCA provides software and licenses to the campus as a common good with the expectation that this will reduce the total amount of money the campus spends on Microsoft software and licenses.

Can student employees use the MSCA?

Yes, MSCA can be used by student employees on university-owned computers.

Does the MSCA apply to computers used by students for research or computers in student labs?

Yes, as long as the computers are university owned.

Our department already has media from Insight/Software Spectrum, do I need to use the media that you are distributing?

No. Since the license keys are not bundled in our software installers, you can continue to use your own software. But, for all new installations, you should use our license key.

If my department signed a Microsoft Select contract, can we now back out of the remainder of that contract?

No. Signing of the Campus Agreement does not change the terms of departmental Select contracts; however, it should be noted that the Campus Agreement is expected to be renewed for the foreseeable future as it is a continuing budget item.

Is the new license key embedded in the installation disc?

No. Keys will be obtained from a website. It will be important for each individual customer to log in to the license space (when it becomes available) to agree to the license agreement and obtain their license key. For instructions click here.

Is Visio included in the Microsoft Campus Agreement?

No it is not. Click here for a list of software and CALs that are included.

Is there going to be a mechanism to download installers?

ITS will eventually have a download mechanism for installers and license keys.

Does the MSCA include server software?

No. However, the MSCA does include Client Access Licenses (CALs), for faculty and staff to use your server software. Click here for a list of CALs.

Additional questions and answers for Tier 2 CSRs

Now that the download website is available, can I still order discs from ITS.

Yes, until otherwise noted, CSRs can still request media from ITS; however, work-at-home media must be downloaded and burned by the individual that wishes to use the software You can direct your departmental personnel to the IT Service Center for help with downloading and burning work-at-home media.

Can I order more than one disc of a particular title?

No, but you can duplicate the disc ITS gives you to use in your department on university owned computers.

How do I request media?

Tier 2 CSRs go to an online form to order software titles. Once an order is submitted, the CSR will be contacted by ITS to set up a pick up time. The order will be available for pick up at the IT Service Center front desk. CSRs will need to bring along their Buff OneCard for identification purposes. Along with the disc(s), ITS will supply instructions on how to access the product keys required. After that, CSRs are free to duplicate the discs for use in his or her department on university owned computers, as well as manage the use of those discs.

Important! The agreement stipulates that the media ITS provides to CSRs can only be used on computers purchased with CU-Boulder funds. Faculty and staff members that conduct university work on a personally owned computer (purchased with personal funds), must download the disc image from the website and burn that image onto their own personally purchased media.

Are CSRs required to facilitate installation of software?

ITS is asking that CSRs help faculty and staff download and install the software for their assigned departments. If the CSR is unable to carry out these functions, faculty and staff in the department are welcome to contact the IT Service Center for BugBuster assistance.
