Overview

Instructors that have exam grading performed by the Testing and Assessment Center (TAC), can import the results into their CULearn grade book. When you submit an exam for grading by the TAC, tell them that you want the results file to be available for uploading to CULearn. When the file is ready, instructors will be notified via e-mail by ITS that the file is ready for them. Instructors then need to download their scanned results file from CUServices to their local computer and then upload it to CULearn. ITS suggests that you open the file and verify its contents, particularly if you have issues uploading the document. This document will demonstrate how to perform those steps.

Getting the Results File

1. After receiving an e-mail notification from ITS, you can get the results file. To get the file, open a web browser and go to go to https://cuservices.colorado.edu/culearn/Instructor's CU Login Name

For example, https://cuservices.colorado.edu/culearn/buffalor

2. The CUServices login page will open, as shown below:

3. Enter your CU Login Name and IdentiKey password, then click on the Login now button.

4. Once logged in, you will see the files that are in your secure directory. The filename will reflect the course, section, academic unit and term, and the numbers at the end of the filename will show the date and time of the file's creation.

For example: THTR3011001_B1_067_EF_20061218_1429.csv

  • Course: THTR3011
  • Section 001
  • Academic unit: B1
  • Term: 067 (Fall 2006)
  • Date: 12/18/2006
  • Time: 2:29 PM

5. Download the file or files that pertain to the assessments you wish to add to your CULearn grade book by right-clicking on the file name and selecting Save Target As (or whatever similar option is available in your browser).

Verifying the Scanned File

Once you've saved the file or files to your local computer, you'll need to verify that the information is correct. Open the file in Excel and check the following:

    1. This file must have the username (smithabc) as the identifying column for CULearn and the grade column, as well as column headers.
    2. Scroll down the file and be sure there is no extraneous data. It is strongly suggested that you delete all columns other than the userid/username and the grade column you need to upload.
    3. You may also want to note if some records are incomplete, such as missing the student username. These often will be at the end of the file. If so, these grades will not import and you will need to complete the information in the .csv file before uploading, or manually enter these student grades into the CULearn grade book.
    4. The file must be saved as a .csv file. A regular excel file (.xls) will not upload into CULearn.

Most upload problems are resolved if these items are all in place. If you still have problems, contact (303) 735-4357 (or 5-HELP from a campus phone).

Importing the Results File into the Grade Book

1. Once you've verified that the document has been set up properly, you need to upload the .csv file to CULearn's grade book.  To do this, login to CULearn, go to your course, select the Teach tab and select the Grade Book tool.

2. In the Grade Book, click on the Import from Spreadsheet button, as shown below:

3. The Import File window will open. Click on the Browse... button. Do not modify the values in the Separator: and Character Set: drop-down menus.

4. Browse to the file that you have just saved to your local computer and click on the Open button.

5. Once the correct file is displayed in the File: text field, click the Upload button.

6. After the file uploads, you might need to match a column in the grade book with a column in the file you are uploading. Click the drop-down menu of the column that needs to be matched.

7. Match the column from your file to the one in the gradebook.

8. If the file has extra columns that you do not wish to import, you can specify Do not import, as shown below:

9. When you are done specifying import options, click on the Import button to import the file into the grade book.

10. If you selected to not import certain columns, these columns will appear in an Import Errors screen. Click OK.

11. The imported information will appear in the Grade Book. Verify that the information was imported the way you indicated.
