Overview

Once a Gradebook has been downloaded, it can be assigned a password for protection. This document shows how to set a password in Office 2003 for Windows.

Setting a Password for Gradebook in Office 2003 for Windows.

1. Open the file either by double clicking on the file or opening the file in Microsoft Excel.

Double click on file

2. Click on the File drop-down menu and select Save As.

3. From the Save as type drop-down menu select Microsoft Office Excel Workbook.

4. Once the document is saved, click on the Tools drop-down menu and select Options.

5. In the Options window, click on the Security tab.

6. Next, click on the Advanced button to choose the encryption type.

7. From the list, select RC4, Microsoft Enhances RSA and AES Cryptographic Provider. Never select "Office 97/2000 compatible" or "Weak Encryption."

8. Click on the OK button.

9. Back at the Security window, enter your password to protect the file in the Password to open field.  For guidance on choosing a good password please click here.

10. Click on the OK button when done.

11. After clicking OK you will be prompted to re-enter your password.  Re-enter your password and click on the OK button.

The document is now protected.  Please remember that the document can not be recovered if you loose your password.  If you need to keep a list of passwords store the list in a secure location such as a lock box or locked cabinet.

Next you must permanently delete the original file downloaded from CULearn.  To permanently delete a file, click the file, press SHIFT, and then press DELETE.  Be certain that you are deleting the correct file.  This step for deleting files is not sufficient for deleting old gradebooks which contain Social Security Numbers. Please contact the IT Security Office for help securely deleting files containing Social Security Numbers.
