CULearn Faculty Support — Importing Student ID Numbers into the Grade Book

Overview

Importing student ID numbers into the Grade Book requires precisely following the instructions below.

  • Be sure to download the Grade Book for safety before completing any of the steps below.
  • Click here to see documentation on downloading the Grade Book.
  • The data from CUConnect cannot be directly loaded into CULearn without some important and necessary changes to the data file.
  • ITS highly recommends that you follow these steps with the guidance of an ITS staff member such as a Distributed Academic Technology Coordinator (DATC) assisting you.

Follow these steps closely:

1. Log into your CUConnect account. Select the course you need from the list provided.

2. Select Download Excel-friendly format from the Course Roster options.

3. When the window appears, select Save to Disk. ITS recommends saving the file to your desktop for easy access.

4. Open the file in Excel.

5. Delete all columns and rows except CU ID and Userid. Be sure to leave the headers for these two columns.

6. Resave the file as a CSV (Comma delimited) file.

7. Once you've saved the file or files to your local computer, you'll need to upload them to CULearn's grade book.  To do this:

  1. Login to CULearn, go to your course, select the Teach tab and select the Grade Book tool.
  2. In the Grade Book, click on the Import from Spreadsheet button, as shown below:

8. The Import File window will open. Click on the Browse... button.

9. Browse to the file that you have just saved to your local computer and click on the Open button.

10. Do not modify the values in the Separator: and Character Set: drop-down menus.

11. Click on the Upload button.

12. After the file uploads, you might need to match a column in the Grade Book with a column in the file you are uploading. Check the drop-down list to see the column names in the Grade Book. In this instance, Userid = User ID in the Grade Book.

If the file has extra columns that you do not wish to import, you can specify Do not import, as shown at the bottom of the list.

13. When you are done specifying import options, click on the Import button to import the file into the Grade Book.

You may need to click the View All tab to refresh the screen to see the newly uploaded data.

Remember!

Any file you upload into the CULearn Grade Book must:

  • have the User ID column as the identifier for CULearn (this is equal to the CU Login Name)
  • have appropriate column headings
  • be saved as a comma separated value (.csv) file
  • have no unnecessary data. File upload errors usually are due to incorrect file formats or extra data that cannot be reconciled with the CULearn Grade Book.
