Overview

ITS strongly recommends that faculty download and save the gradebook from CULearn after updates to the gradebook, as well as at the end of the term for archival purposes.

Member information can be exported as a comma-delimited or tab-delimited text file. You can export all column information, except formulas for calculated columns. The data that you can export is determined in part by the tab from which you commence the export.

Security precaution: after you export your grade book, ITS recommends that you encrypt the file. Learn how to do this at the bottom of this document.

Exporting the Grade Books

1. From the Teach tab, scroll down to Instructor Tools and click on Grade Book.

2. Click the Export to Spreadsheet button. Note that this can be done from either the Grades, Members, View All, or Custom View tab (but not the SCORM Grades tab).

3. The Export to Spreadsheet screen appears. It will ask you to choose certain options. The image below shows some recommendations. ITS recommends the following:

  • Under Members to Export: select All members.
  • Under Columns to Export: select All columns
  • Under Export Format: select the Comma-delimited option (this is a very common format for importing into spreadsheet programs, although the Tab-delimited option will often work well too).
  • Under Character Set: select the default Unicode (UTF-8) setting unless you know that your programs need to alternative.

Click the Export button, and select a location to save the new file.

4. Download and save the file to your computer.

5. Now learn how to encrypt the grade book file. ITS highly recommends that you do this.
