General Information
Recruiting in this Category
All requests to hire in this category must be forwarded to the Assistant to the Provost/Staff Affairs, as well as requests to waive a search. Letters of offer continue to be reviewed and processed for Chancellor's approval through the Office of Faculty Affairs.
Affirmative Action
At the commencement of each search, the academic unit is required to notify the Office of Equity and Access that a search has begun. The University requires that the Office of Equity and Access sit ex-officio on all searches for professional exempt staff. All academic units reporting to the Provost are required to file a search summary before an offer is made.
Recuitment Process
Department/School/College: The Department/School/College will be responsible for the following activities in the recruitment of professional exempt/unclassified personnel.
In addition to the recruitment authorization form, the recruitment liaison will provide the following documents to the Assistant to the Provost:
Job description with percentage of times detailed for each job duty;
Organizational chart; and
Written justification if the salary exceeds the campus salary range for that title.
All searches will be conducted as open searches, unless there has been a written request to waive the search submitted to and approved by the Assistant to the Provost/Staff Affairs.
The Office of Equity and Access will be notified in the event that a search must be initiated. Equity and Access will be invited to have a representative sit ex officio on all professional exempt searches.
An ad will be prepared and approved by the Dean or the Dean's designee that includes the following:

The recruitment liaison will prepare a search summary for the hiring authority's review.
The recruitment liaison will e-mail a draft letter of offer to the Office of Faculty Affairs for review, utilizing the letter of offer template. (cuoffer@colorado.edu)
The letter of offer packet will be prepared and submitted to the Office of Faculty Affairs. The packet should include the following:
Approved Professional Exempt Position Recruiting Authorization Form;
If the search is waived, written approval by the Assistant to the Provost;
Letter of Offer; and
Resume.
The recruitment liaison will return the signed letter of offer to the candidate for review and signature.
The letter of offer, once signed by the candidate, will be returned to the Office of Faculty Affairs.
Academic Affairs: The Assistant to the Provost/Staff Affairs will be responsible for the following activities in the recruitment of professional exempt/unclassified personnel.
The Assistant to the Provost will review the request, and either give approval or denial to the request. The Assistant to the Provost will give written justification when requests are denied.
An authorization form will be submitted by the Assistant to the Provost to the designated Human Resources representative to request approval to create a new professional exempt position.
The Assistant to the Provost shall work with the designated Human Resources representative to secure permission in a timely fashion.
The Human Resources representative will notify the Assistant to the Provost of the decision of the Colorado Department of Personnel who in turn will notify the recruitment liaison.
The Assistant to the Provost will provide the Office of Faculty Affairs a copy of the Professional Exempt Recruiting Authorization Form (and other supporting documentation) once it has been approved or denied. The Assistant to the Provost shall also provide a copy of the approval of salary where justification has been provided by the hiring unit to exceed the campus range.
Faculty Affairs: The Office of Faculty Affairs will be responsible for the following activities in the recruitment of professional exempt/unclassified personnel.
The draft offer letter will be submitted to Legal Counsel when substantive changes have been made to the template letter of offer.
The final letter of offer will be routed to the appropriate administrators for signature(s).
The hire will be included on the Chancellor’s Delegation.
The Dean/Director of the hiring unit will be notified that the Chancellor has approved the hire.
A copy of the letter of offer will be forwarded to the hiring unit.
A recruiting file will be established in the Office of Faculty Affairs.
