How to Import DDviewer Java 2.0 Maps into Microsoft Word

  1. The DDViewer "Browse Graphics" Java window with the finished map should be the active window (i.e., it is on top of the desktop and the top part of the window is shaded in blue or some other active color)
    1. Microsoft Word should be running in portrait or landscape and page layout views in the background

      2. if your county is taller than it is wide, use Word's portrait view or if your county is wider than it is tall, use Word's landscape view
      3. get portrait or landscape view: menu bar/file/page setup
        1. in the pop-up window, click the "Paper Size" tab, click the portrait or landscape radio button, and click "OK"
      4. get page layout view: menu bar/view/page layout (shortcut: icon in bottom left-hand corner of screen)
  2. Press Alt Print Screen to do a screen capture of the Java window with the map (it must be the active window)
    1. warning: don't press Print Screen by itself (Alt Shift 3 on Macs) because then the entire screen is captured
    2. alternatively, press the stat or data radio buttons at the bottom of the "Browse Graphics" Java window and see a url (uniform resource locator, i.e., web address) for the map gif file at the top of the window
      1. import this temporary file by pasting the url in the location window or by using the open page command (menu bar/file/open page, shortcut: Ctrl O)
  3. Make Microsoft Word the active window
  4. Paste the map into Microsoft Word: menu bar/edit/paste (shortcut: Ctrl V)

  5. note: the map should appear
    1. your county income map should always be placed in the upper left hand corner of your Word document
  6. Customize the map
    1.  
    2. crop (i.e., remove outer parts of) the map: menu bar/view/toolbars/picture
      1.  
      2. on the picture toolbar click the crop button (it has two intersecting corners displayed on it)
      3. put the cursor on one of the image handles (little white squares on the perimeter of the image) and the cursor will change to the crop symbol
      4. left-click and drag on the image handles to remove parts of the image

      5. note: your goal is to remove the extraneous material so that only a black background and the map remains--here's an example
    3. it may be necessary to crop the title (e.g., if there's too much distance between the title and the image, which may happen if your county is wider than it is tall)

      2. follow these instructions on how to remove an inappropriately placed title and how to create a new one
    4. follow the next steps only if you were unable to create a satisfactory legend in DDViewer (this is fairly likely)

      2. right-click on this image, click "Save Image As..." or "Save Picture As" and put it in your H drive, on your floppy, or wherever you are saving your material legend.gif (2324 bytes)
      3. make Microsoft Word the active window
      4. insert the image: menu bar/insert/picture/from file

        2. a popup window appears
        3. make sure that the "Float over text" window has a check in it
      5. drag the legend on to the map
      6. reduce it in size with a left-click drag on one of the image handles
  7. Shrink the entire image by selecting the map and put the cursor on one of the image handles
    1. you'll be placing 2 maps side by side, so click and drag to resize the image to about a half the width of the page
    2. place the first map in the upper left of your Word document
  8. Notes on design: you'll be making a total of 6 DDViewer maps, and these will go into 5 Microsoft Word graphic documents

    2. all five documents will have 1 row of 2 maps

      2. each row of 2 maps will have a row of 2 corresponding charts and a row of 2 corresponding text boxes attached to it

    3. you will save a lot of time by producing your maps, charts, and text boxes in groups of 2

      2. the inefficient approach is to make one map, and then one chart, and then one text box
    4. now go to "list and contents of your five graphic documents"
