Online FCQ processing: Email messages to students

Up to 4 messages per student per term

Overview

Each term, students with at least one course being evaluated online are sent a customized online FCQ email to their official campus email address.

The email contains two types of online FCQ URL's, or links. The first type is the course-specific link, with the course number and student's unique online FCQ passcode number embedded in it. If the student clicks on that link, the online FCQ form for the correct course-section appears in a browser, ready for completion, labeled with the course number, section number, and instructor name (see example).

If a student is enrolled in more than one course being evaluated online, their email will contain multiple course-specific online FCQ links, all using the same passcode.

If the course-specific link does not work (usually because it's been separated into multiple lines by the student's email reader), the student can click on the other link. The resulting page is a generic online FCQ portal that shows a list of all course-sections with online FCQ administration for that campus and term. The student must select the correct course-section and enter by hand the passcode that was sent by email. Alternately, they may enter their birth date and the last four digits of their student ID. Click here to see an example.

Below are sample emails sent to students during an online FCQ administration period.

First message - Sample for CU-Boulder online FCQs, fall 2013

Sent the weekend before paper FCQs administered in classroom.

TO: (one student)
SUBJECT: Faculty Course Questionnaire for your CU-Boulder courses
FROM: CU Course Evaluation Office

CU-Boulder records show that you are registered for the fall course below for which an online Faculty Course Questionnaire (FCQ) is being administered. Please click the link following the course ID line below to go to the course's FCQ form.

[Fall/spring terms only] NOTE: A number of classes that meet in a classroom setting are served with paper FCQs instead of online FCQs (a class is served with one or the other, not both). Paper FCQs will be administered in classrooms sometime next week.

Online FCQ collection ends Mon, Dec 9, 11:59 pm, so please fill out the FCQ form promptly, or keep this email until you are able to do so.

Your responses also are ANONYMOUS. No FCQ responses can be traced back to a student when the instructor receives the results in September. You can get more info at http://www.colorado.edu/fcq/form/webprocs.html.
