Position Opening: Dean's Assistant and Scholarship Liaison,
College of Arts and Sciences
The Dean's Assistant and Scholarship Liaison manages numerous processes that
keep the Dean's office running smoothly. This position oversees projects
that directly affect both faculty and students in the largest College at the
University. The Dean's Assistant is responsible for administering the
awarding of scholarship monies, organizing and prioritizing correspondence
received, and coordinating "Dean's List" and "With Distinction" honors to
recognize the College's brightest students. The overall goal of the
position is to handle various tasks in order that the Dean may concentrate
on the overall picture rather than the underlying processes.
Administers scholarship processes.
Designs and implements procedures for scholarship awards. Determines the
amount of funding for A&S scholarships. Works with donors, donor
representatives, Foundation, and Financial Aid staff. This includes talking
with and corresponding with donors and potential donors about scholarship
intentions, determining the amount of funds needed for transfer, and
developing selection and notification policies with Financial Aid officers
on new and existing scholarships. Generates and sends scholarship award
Support for A&S in repeating (yearly, monthly) and one-time projects.
Generates and updates spreadsheets for recurring projects including Buffalo
Bicycle Classic, Post Tenure Review, New Faculty Workshop, etc. Oversees
Prospective Student Mailing project, including working with Office of the
Registrar to generate and distribute labels, working with departmental
contacts to provide needed information.
Review, research, and respond to Dean's correspondence.
Works at the request of the Dean and others in the office to create, refine,
and distribute Dean's correspondence. This duty requires strong writing
skills and an ability to understand and clearly represent the intentions of
A&S, and the University.
Manage "Dean's List" and "With Distinction" processes.
Requests "Dean's List" materials from the Office of the Registrar. Creates
"Dean's List" letter and an email merge to notify all eligible students.
Answers "Dean's List" related calls from students and parents and arranges
for print letters to be sent out on request. Receives and processes "With
Distinction" list. Creates "With Distinction" letter and notifies students.
Answers "With Distinction" questions from students.
Answers calls coming in to the Dean's Office from faculty, staff, students,
parents, media agencies, other universities, etc. Calls range from simple
informational requests to frustrated individuals looking for answers.
Receives, sorts, and routes all faxes and mail coming into the Dean's Office
and to A&S Administration.
Ability to work independently and as a member of a team
Working knowledge of Microsoft Word, Excel
2 years experience working in Higher Education
