SUBJECT: System Replacement Projects - Data Conversion
With any system implementation, there is the major effort of converting the
data that exists in the legacy system over to the new system. In the case
of our two projects - DARS and Campus Solutions - this will need to be done
twice. For DARS, the process will be much simpler. Only course data will
need to be converted into the new system; an interface will be written
between DARS and our current SIS, and in the future, between DARS and Campus
Solutions, for student data. However, the project team has determined that
the specific audit requirements may not be converted over so easily, so all
will have to be re-entered into DARS.
So what relief we get from not having to convert a lot of current data with
DARS will be completely forgotten by the time we get around to converting
data to Campus Solutions. This will be a huge effort requiring the efforts
of many people across the University to identify the data to be converted,
write reports to identify the data, clean-up the data prior to conversion,
and then verify the data once it gets to the new system.
The fundamental goals of the conversion are as follows:
--Production of official student transcripts from a single source
--Maintenance of student academic history in a single source
--Support of academic processes including academic advising,
academic standing, registration eligibility, pre-requisite checking
--Degree audits for current students
--Awarding and processing of federal, state, and institutional financial aid
--Maintenance and tracking of financial aid data required for awarding
of aid and reporting criteria
--Maintenance of data required to monitor financial aid eligibility
--Calculation of student tuition and fees including College Opportunity
Fund eligibility and use
--Maintenance of accurate student accounts reflecting balances,
service indicators and comments
--Support accurate reporting and analysis of current data
--Support mandated reporting requirements for Fall 2010 term and beyond.
The first projected conversion effort will be March of 2009 for the Customer
Relationship Management System (CRM) and Admissions. This will primarily
be focused on bio-demographic data. Next will be curricular data in October
of 2009 to feed the course term and inventory; instructor and advisor
information; and building and facility information. Financial Aid data will
follow up with a great deal of student data related to enrollment and
transfer credit by November of 2009, and again in January 2010 for Loan,
Perkins, Work Study and other information. Much of the remaining data to be
converted will be in phases, with the most recent students first, and then
progressing to students who have not attended in some time. Certainly,
only part of the current SIS data will be converted; some of the data that
is not converted but needed in the future will be stored in some type of
data repository and available through reports.
