Ordering Vendor Images
Requesting VRC Scanning
Submitting MFA Thesis Images and Donating Images

The VRC obtains digital images for its collection from vendors, donations, and scanning from slides or printed materials upon Art and Art History faculty request. To avoid scanning images already available in digital form, the VRC encourages instructors to first check the VRC's Digital Image Collection, ARTstor, and the Scholars Resource Web site.

ORDERING VENDOR IMAGES
Purchasing images offers several significant advantages: superior quality, support for the marketplace, and relative ease of in-house processing. In collaboration with the Auraria Visual Resources Collection (Denver campus) and the College of Architecture and Planning Visual Resource Center (Denver and Boulder campuses), the Art and Art History VRC has secured consortial site licenses with each of the vendors comprising Scholars Resource, an online marketplace featuring a single, integrated Web site for convenient browsing and purchasing.

The VRC purchases images upon request for Art and Art History faculty. To build wish lists of images, visit the Scholars Resource Web site, and link to create an account under the Log In for Expanded Features section. On that page, enter your e-mail address and a password of your choice. The next page asks you if you are affiliated with an institution - after choosing yes, enter "Boulder" in the keyword search field. This will generate the correct account for our department: University of Colorado: UCB, UCDHSC, and UCCS Boulder, CO United States. Select the institution, and enter the account information on the next page. Click the create account button, and you are ready to start your wish lists.

Under Orders and Wishlists, link to Manage your Lists. This section can be found in future under the My Account link at the top of the page. In the Create New List section, enter the wish list title and any comments you wish to share. When saving your list, please select an option other than "Private List" so that the list will be visible to VRC staff. Upon finding an image of interest on the Scholars Resource site, open it by clicking on the image title, then simply click on the Add to List link underneath the thumbnail. Repeat for each item you would like to add to list. Note that when you create more than one list, new items are added to the first list as it appears on the Manage your Lists section. To add images to a previous group, simply drag the desired wish list to the top of the sequence of lists before adding images that list.

REQUESTING VRC SCANNING
The VRC will scan images for Art and Art History faculty under the fair use provision of copyright law, provided that the four fair use criteria are met. If an image is reasonably available commercially, the VRC cannot scan it but is happy to purchase it for our collection.

For each request the faculty member or graduate teacher should complete and submit an image order form for the type of source material to be scanned (i.e., printed materials, VRC slides, or personal slides).   These image order forms are simple to fill out in Excel.

To avoid scanning images already available in digital form, the VRC encourages instructors to first check the VRC digital image collection and ARTstor before requesting VRC scanning.

Turnaround
While the VRC requests a two-week turnaround with a maximum of 40 images per two-week period, we will do our best to accommodate rush orders.  However, we cannot always guarantee our availability for rush orders (and we appreciate being given adequate time to do our job well) – it’s best to plan ahead whenever possible.

Cataloging and Archiving
To reduce redundant digitization efforts in the future, each image scanned by the VRC is cataloged for ongoing access in the VRC digital image collection, which is housed in Luna Insight software. See our Image Resources page for more information about our digital image collection.

Image Order Forms For VRC Scanning
Download one of the following Micrsoft Excel forms depending on the type of material being processed. Please read the brief instructions on the form. You may increase the size of the form after opening it by going to the View menu, selecting Zoom, and increasing the magnification. Fill out the form electronically, and e-mail it to Elaine Paul. If you do not own the Excel program, you may use the one of VRC public computers.

Form for Scanning Printed Materials. Use if you have images in books and journals that you would like scanned and cataloged for the departmental collection.

Form for Scanning VRC Slides. Use if you wish to have VRC slides scanned and cataloged for the departmental collection.

Form for Scanning Personal Slides. Use if you wish to have personal slides scanned and cataloged for the departmental collection.

SUBMITTING MFA THESIS IMAGES AND DONATING IMAGES
Download one of the following Micrsoft Excel forms depending on the type of material being processed. The VRC gratefully accepts digital image donations, provided they meet the minimum criteria for quality and accompanying descriptive information for cataloging, and we have the staff to process and catalog them. Please read the instructions on each form. You may increase the size of the form after opening it by going to the View menu, selecting Zoom, and increasing the magnification. Fill out the form electronically, and e-mail it to Elaine Paul
. If you do not own the Excel program, you may use the one of VRC public computers.

Form for MFA Thesis Image Submissions. Use if you are submitting images from your Department of Art and Art History MFA Thesis exhibition.

Form for Digital Image Donations. Use if you have digital images to donate to the VRC. Before submitting large orders for general collection development, please check ahead with Elaine Paul to ensure that we have the staff available for processing them. Thank you for your donation!
