Pickup of Outgoing and Intracampus Mail
Distribution letter carriers pick up letters and flats using a combination of foot routes and vehicles. Carriers on these routes will pick up University business-related intracampus, Boulder-Denver Shuttle Service, and outgoing letter and flat mail that is ready for metering or UPS. Most departments on campus have a morning and afternoon pickup of USPS mail ready for posting. (See "Package Delivery Routes" and "Letter Carrier Routes" in Receiving Mail section for a complete schedule of campus pickups.)
Equipment A damage waiver must be signed for equipment such as computers being picked up for shipment through Mailing Services Meterline Services. Please identify such items when requesting a package pickup. Hazardous Materials There are strict rules for shipping hazardous materials. All hazardous
materials are shipped through the Distribution Center rather than Mailing
Services. Please contact the Distribution Center, 2-7615, for further information. |
Package Pickup Requests
Distribution package carriers pick up packages or large quantities of mail from departments for processing by Mailing Services that the letter carriers are not able to pick up on their walking routes. To schedule a pickup of this type of mail, contact the Mailing Services receptionist(2-6242) and request a "package pickup." Mail for pickup should be placed at the normal carrier stop in the department. For same-day service, requests must be called in to Mailing Services by 8:30 a.m. for departments that normally receive their package mail in the mornings and by 12:00 noon for departments receiving their package mail in the afternoon. (See "Package Delivery Routes" in the Receiving Mail section for a complete schedule of package routes.)
When scheduling a package pickup, you will be assigned a package pickup number. Place this number on each package, bundle or tray to be picked up. Loose mail will not be picked up. Please box or bundle items to prevent loss and/or damage.
Mailing Services may spread out package pickups of 5 or more packages or boxes over two or more days (depending on the quantity) in order to maintain the daily campus delivery/pickup schedule.
For pickup of 10 or more packages going either to another campus department or to the Bulk Mail Processing Center, call the Distribution Center at 2-7615.
Same-day pickup of large quantities of mail, emergency/immediate pickups, and pickups in locations other than the standard mail stop in the department depend on the availability of our resources (personnel/vehicles). A prorated labor charge may be assessed to the department for such pickups.
It is important to note that calling for a package pickup will not suffice for scheduling a mailing for processing through the BMPC or the Meterline. Schedule mailings with the Supervisor of the BMPC or Meterline prior to requesting a package pickup.
| Wrapping paper and tape used on registered articles must be able to absorb
a postmark. Slick plastic tapes are not acceptable. |
Preparation of Outgoing Mail
The mail from each stop on each route is merged with mail from the other departments on the route. To ensure same day processing, outgoing mail must be separated into:
1. campus mail
2. mail to be metered:
Please bundle separately:
3. stamped mail and business reply
4. mail for the Bulk Mail Processing Center (BMPC)
Each bundle must be securely rubber-banded, so that mail for each department and/or account number stays together. The bundle is directed to the appropriate service area upon the return to Mailing Services. Loose mail is more likely to be delayed or damaged (bent, crushed) when merged with thousands of other pieces along the route.
The Mailing Services receptionist will provide University departments with certain supplies for preparation of outgoing mail at no charge. Please call the receptionist at 2-6242 to request any of the following supplies:
Packaging supplies (envelopes, address labels, package sealing tape,
etc.) may be purchased from the CU Book Store.
