How to Address Intracampus Mail
Mail sent from one department to another should be addressed with the name, department, and campus box number of the addressee, as in the following sample address:

Reusable Campus Mail Envelopes
Mailing Services encourages the use of reusable campus mail envelopes. Despite our efforts to keep the campus supplied with these envelopes, the demand is greater than our supply. If you have an excess supply of reusable envelopes, please send them to Mailing Services at CB 60 so we may put them back into circulation. If you have a large quantity of reusable envelopes to return to us, please request a package pick-up. Label your bundle "Empty Envelopes for Reuse" and be sure that all envelopes are empty before returning them to Mailing Services.
Intracampus Mailings of 50 or More Pieces
A Mailing Services Interdepartmental Order and Invoice (MS-IN) is required for all campus mailings of 50 pieces or more. Mailing Services audits mailings for compliance with the USPS Private Express Statutes and University policy and assesses a charge for sorting and delivery. All mailings should be prepared in campus box number order to avoid the higher campus delivery rate for mailings out of order. Any large mailing that has been split into bunches smaller than 50 pieces and sent out in intervals for the purpose of avoiding a processing fee will be collected and billed as one mailing.

Due to the volume of mail received and processed each day, it is not possible to trace missing mail unless the pieces have been sent in accountable form. Campus certified service is available to provide proof of delivery for important items. Campus certified mail is handled similarly to USPS certified mail within the campus mail system.
There is a nominal fee per piece for this service. When your department wishes to send a campus certified item through the campus mail system, please complete a campus certified form and retain the top copy for your records. The bottom two copies should be securely attached to the item. Please hand deliver the item to Mailing Services or call 2-6242 for a "campus certified pickup." Campus certified forms are available in Regent 1B86 or may be requested from our receptionist (2-6242).
Please note that for same-day delivery of campus certified mail via the Boulder-Denver Shuttle Service, the campus certified item must be hand delivered to Mailing Services by 11:45 a.m. to allow sufficient processing time.
Messenger Service is an on-call service designed to move small non-mail items and time-sensitive correspondence throughout the Boulder campus. The targeted turnaround time for this service is one hour. All items being sent through Messenger Service must be small enough to be carried across campus without the use of an aid (handcart, pallet jack, etc.). Contact Moving and Hauling at 2-7207 to move large items or quantities of items across campus.
This service is offered 8:00 a.m. to 12:00 noon and 1:00 p.m. to 4:30 p.m. weekdays. After you have requested this service, our receptionist will request the following information: account number to be billed, contact person/department/building/ room number and phone number for pickup, and the same information for delivery.
The item for delivery should be packaged, addressed, and ready for delivery at the time the call is made. A signature will be required when the item is delivered; therefore, the recipient or a departmental representative must be available to sign for the item at the time of delivery.
Boulder-Denver Shuttle Service
Mailing Services operates the Boulder-Denver Shuttle Service on a daily schedule, Monday through Friday. Regular daily stops are made to the State Services Building, the UCD Campus (currently being distributed through Auraria Business Services), and the Health Sciences Center.
Mailing Services delivers mail to the State Central Service mail facility on a daily basis. State Central Services distributes mail to 220 state agencies. For information about the agencies that State Central Services delivers to, contact them at 866-3886. Mailing Services shuttle service will provide delivery for campus certified mail to the following locations: the State Capitol, the Centennial Building (Personnel), the Colorado Department of Employment, and PERA.
Mail for the Boulder-Denver Shuttle Service received at Mailing Services before 12:00 noon will be delivered that same afternoon to the various stops along the route.
Mail destined for delivery on the Shuttle must carry the correct department name, delivery address, and city of destination. To expedite handling, the words "Denver Shuttle" should be placed on each piece, bundle or package to be delivered from Boulder to Denver. Likewise, correspondents should write "Boulder Shuttle" on all mail being sent from Denver to Boulder.
As with UCB mail service, the Shuttle Service is designed for the transfer
of University correspondence rather than non-correspondence items, such
as boxes of materials, paper, goods, etc. However, Mailing Services will
try to accommodate boxes when space allows. The limited capacity of the
vehicle, combined with the varying quantities of mail to be picked up or
delivered at each stop, prevent any guarantee of delivery of non-correspondence
items.
