ADDENDUM: For Minor Changes to Professional Exempt Appointments

When a small change is desired to a professional exempt employee's position such as a minor revision to job duties (major revisions require that the position itself be reviewed for re-exemption), percent of appointment, start date, etc., an addendum is required. The process for creating an addendum is similar to that followed for the Professional Exempt Letter of Offer (NOTE: Changes that are purely internal and do not affect the nature of the job responsibilities, percent time, start date, etc., do not need approval by the College or Faculty Affairs):
- Hiring Unit drafts addendum based on Professional Exempt Addendum template available here (will open in Word).
- Draft addendum is reviewed by the Chair/Director of the Hiring Unit.
- Draft addendum sent via e-mail to Susan Sires (Susan.Sires@colorado.edu).
- The addendum is sent by Susan to "CUOffer" (a special e-mail address in Faculty Affairs) for review.
- When the draft has been approved, an e-mail is sent to the Hiring Unit with the approved addendum attached as a file, and a hard copy is printed on letterhead.
- The hard copy of the addendum, signed by the Chair/Director of the Hiring Unit, is sent to Susan Sires.
- The addendum is reviewed and signed by Dean (through Susan Sires).
- The addendum is sent to the Associate Vice Chancellor for signature (through Susan Sires).
- The Dean's office is notified when the addendum has been signed by the Associate Vice Chancellor, and it is picked up by A&S.
- The Hiring Unit is notified that the addendum is ready.
- The addendum is sent to candidate by the Hiring Unit for acceptance.
- Once the candidate returns the addendum to the Hiring Unit, the original is sent to Susan Sires.
- The Dean's office sends copies of the signed addendum to the Hiring Unit and to the A&S HR Center and to Bernadette Langbein in the Chancellor's office, and puts one in the employee's personnel file. The original addendum is sent to Faculty Affairs.
- Paul Quist in the A&S HR Center enters the information into PeopleSoft.
- Faculty Affairs arranges for the addendum to be approved on the Chancellor's delegation report. This report is forwarded by the Vice Chancellor's office to the Dean's office monthly, which then forwards it to all department/program assistants.
